Executive Assistant (Virtual) – Real Estate & Media Support
Position: Executive Assistant (VA1)
Location: Remote (Must follow Arizona Time, MST)
Work Hours: Monday to Friday, 8:00 AM – 5:00 PM MST
Salary: Starting at $3/hr (negotiable based on experience with opportunity for increased pay and bonuses)
Start Date: 04/10/2025
About the Role:
We are looking for a highly organized, detail-oriented Executive Assistant to support our real estate and media businesses. This role requires a proactive and resourceful professional who can handle administrative tasks, social media management, client communication, scheduling, and project coordination.
If you have experience in backend administrative support, CRM management, and task management platforms—and you're coachable, communicative, and a self-starter—this role is for you!
Key Responsibilities:
1. Social Media Management
Post pre-made drafts on platforms through Lofty Content Studio
Engage with posts (likes, comments, shares) to boost online presence
2. Administrative Support
Data entry & CRM updates (Lofty experience preferred)
Maintain & organize electronic files (google drive)
Add and manage tasks in task management software (
3. Calendar & Scheduling
Manage Google Calendar, schedule appointments, and confir
Coordinate with vendors, agents, and other clients and guests
4. Client Communication
Send
Categorize & manage
Notify clients about meetings, delays, or schedule changes
5. Personal Assistance (As Needed)
Online purchases (gifts, groceries, etc.)
Travel coordination (hotel & flight bookings)
6. Meeting Support
Take minutes during meetings & maintain records
7. Research & Reports
Conduct research (market trends, competitor analysis, etc.) (Training provided)
Compile information into reports
Prepare and track invoices & expenses
8. Project & Task Management
Track projects to ensure deadlines are met
Maintain & update contact lists/databases
9. Customer & Business Support
Provide customer support & address inquiries
Use AI tools to generate blog content
10. Standard Procedures & Tools
Follow Standard Operating Procedures (SOPs)
Utilize AI & software tools to streamline tasks
Qualifications & Experience:
Strong English communication skills (written & verbal)
Must have backend admin support experience (corporate or VA)
Must have a college degree (or be highly coachable if inexperienced)
Experience with CRM management (Lofty preferred)
Familiarity with Google Workspace & task management platforms (Asana preferred)
