Executive Assistant (Part-Time to Full-Time | PHP 40,000 per Month)
I am seeking a highly organized and reliable Executive Assistant. This role offers 20-40 hours per week, working Australian business hours. The ideal candidate has a strong administrative background with experience at the executive level, is proficient with tools like Google Workspace and project management software, and is comfortable handling both high-level administrative duties and client-facing tasks. Training will be provided to familiarize you with our specific tools and processes.
Key Responsibilities:
Executive Support:
Organize and manage
Schedule and manage calendars, appointments, and reminders to ensure smooth daily operations.
Assist in preparing executive reports, presentations, and other important documents.
Conduct research, compile data, and prepare information for decision-making.
Handle confidential information with discretion and professionalism.
Coordinate travel arrangements, accommodations, and itineraries for the executive team.
Administrative Support:
Create, format, and distribute internal communications, newsletters, and client-facing documents.
Maintain and update company records, files, and databases with accuracy.
Assist with onboarding new hires and business partners.
Track key data and deadlines using spreadsheets and ensure all tasks are completed on time.
Handle invoicing, payment follow-ups, and basic bookkeeping (if required).
Client and Team Coordination:
Respond to client inquiries and follow up on communications.
Organize meetings, take minutes, and prepare action plans.
Liaise with vendors, suppliers, and stakeholders to ensure smooth operations.
Support HR functions, including scheduling interviews and managing employee records.
Conduct quality checks on documents to ensure accuracy and professionalism.
Social Media Management:
Assist with managing social media accounts, including scheduling posts and monitoring engagement.
Respond to comments and messages in a professional and timely manner.
Help create content for social media updates to maintain an active online presence.
Job Requirements:
Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.
Experience in the medical industry is a plus but not mandatory.
Strong organizational, time-management, and multitasking skills.
Excellent written and verbal communication skills in English.
Ability to work independently, follow instructions, and meet deadlines.
High proficiency in Google Workspace, Microsoft Office, and other productivity tools.
Experience with social media management tools is an advantage.
Reliable smartphone, laptop, and a stable internet connection.
Prior experience in a Virtual Assistant or Administrative Assistant role is essential.

Compensation:
