Technical Virtual Assistant (Tech VA)

Role Overview

We are seeking an Intermediate Technical Virtual Assistant (Tech VA) to serve as the primary operational engine of our newly launched, fast-growing agency. In this role, you will bridge the critical gap between high-level strategy and daily execution, taking extreme ownership of our internal operations and technical fulfillment.

Main Responsibilities & Day-to-Day:

Assist in setting up, testing, and maintaining technical stacks and client delivery assets for both the agency and our clients.
Keep our internal systems running flawlessly by updating project boards, tracking critical task statuses, and organizing shared files across our tool suite.
Handle client onboarding logistics, including generating, sending, and tracking digital client agreements (e.g., DocuSign).
Maintain proactive, clear, and highly organized updates across internal team communication channels to ensure zero task drop-off.

Essential Qualifications (Must-Haves):

A strong, proven foundational understanding of AI tools. You must know how to construct effective prompts and integrate AI workflows utilizing platforms like Claude or ChatGPT daily.
Proficient navigating standard agency ecosystems, including Slack, Google Suite, Zoom, and modern project management software (Asana, Trello, or ---------- ).
Solid experience managing and executing documents via digital transaction platforms such as DocuSign.
Exceptionally strong written and verbal English communication skills, with a track record of delivering concise, accurate updates to leadership.

Preferred Skills (Nice-to-Haves):

Prior experience with backend automation development and workflow creation.
Hands-on experience working with advanced automation middleware like n8n.
Basic custom coding or technical scripting skills (e.g., JavaScript, Python, or Google Apps Script).
Experience with digital payment management setup, invoice generation, and financial tracking.

KPIs & Success Measures:

Consistently meeting operational deadlines and delivering technical assets perfectly within the defined scope of the contract.
Maintaining strict data integrity and hitting precise operational milestones to ensure client fulfillment loops run with zero friction.
