Recruitment Admin / Back Office Support - Australian Labour Hire Agency

Type: Part-time (25 hours per week, with a path to more hours) Salary: AUD $400 - $650 per month, depending on experience Schedule: Monday to Friday, 5 hours per day, overlapping Sydney business hours (Manila time 6:00am - 11:00am, flexible for the right person) Location: Remote, Philippines

About us

Forgepoint Recruitment is a Sydney-based labour hire agency placing tradespeople and industrial workers with manufacturers and construction businesses across Australia. We are small, growing fast, and this is our first offshore hire.

You would be working directly with the founder. There is no layer of management between you and the person making decisions, which means fast answers, direct feedback, and real ownership of your work.

What you will be doing

This is a back office role. You keep the engine running so the front of the business can keep placing people.

Timesheet and payroll support

Chase workers for missing timesheets each week using our email and SMS templates
Track who has submitted and who has not, and escalate anything outstanding before Monday 10:00am Sydney time
Flag discrepancies between submitted hours and expected hours

Invoicing support (preparation only)

Prepare draft invoices in our timesheet system (Karmly) ready for review
Cross-check invoice line items against approved timesheets and rate cards
Note: you will never send invoices or handle payments. Preparation only.

Candidate document management

Format candidate CVs into our branded submission template (Microsoft Word)
Collect and file compliance documents from candidates - licences, tickets, tax and super forms
Conduct written reference checks by email using our templates

Recruitment admin

Post and refresh job ads across job boards
Keep our applicant tracking system (JobAdder) clean and up to date - deduplicate records, update statuses, tag candidates correctly
Maintain candidate and client records in SharePoint

Growing into (once established)

Bank reconciliation preparation
Drafting confirmation of assignment documents
Onboarding pack administration
What you will NOT be doing

Being upfront so there are no surprises:

No phone calls with clients or candidates - this role is written communication only
No payroll processing, no sending invoices, no handling of money or banking
No cold calling or sales
What we are looking for

Essential

At least 2 years in an admin, virtual assistant, or back office support role
Excellent written English - you will be sending emails to Australian workers and drafting documents
Strong Microsoft Word and Excel skills (formatting documents properly, working with spreadsheets)
Genuinely detail-focused - this role involves numbers, dates and names where small mistakes cost real money
Reliable internet and a quiet place to work
Able to work the stated hours consistently

Highly desirable

Experience with recruitment, staffing, or HR admin
Experience with an applicant tracking system (JobAdder, Bullhorn, JobDiva or similar)
Experience with timesheet or invoicing software
Experience working with Australian or other Western clients
