SALES BASED ROLE

Perth, Western Australia (Remote Position – Philippines Based)

(GCMS) is a rapidly growing Western Australian construction and labour solutions company supporting Civil, Mining, Infrastructure and Commercial projects across WA.

We are building a high-performance operational team to support aggressive company growth across:

* Civil Infrastructure
* Mining & Resources
* Commercial Construction
* Labour Hire & Workforce Solutions
* Tier 1 & Tier 2 Projects

We are seeking a highly organised, proactive and intelligent Executive Operations Coordinator to work directly with the Director and leadership team.

This is NOT a basic admin role.

This role is for someone who can operate under pressure, manage moving parts at high speed, and become a critical operational support person inside a fast-growing construction business.

Position Overview

You will become the operational control centre behind the Director and management team.

Your role is to:

* organise
* structure
* coordinate
* track
* follow up
* manage workflow execution

You must be highly organised, fast-moving, detail-focused and capable of managing multiple priorities daily.

This role directly supports:

* procurement follow-ups
* construction workforce mobilisation
* sales coordination
* recruitment operations
* executive scheduling
* CRM management
* operational planning

Key Responsibilities

Executive & Operations Support

* Manage the Director’s daily calendar and scheduling
* Coordinate meetings and appointments
* Prepare daily action plans and priorities
* Organise reminders, follow-ups and operational tracking
* Ensure critical tasks are completed on time

CRM & Lead Management

* Manage and update HubSpot CRM
* Track procurement contacts and client communications
* Maintain accurate lead pipelines
* Ensure no opportunities or follow-ups are missed

Recruitment & Workforce Coordination

* Coordinate candidate onboarding documentation
* Track workers, tickets and mobilisation readiness
* Organise interview scheduling
* Assist with recruitment workflow management

Communication & Follow-Up

* Follow up clients, procurement teams and candidates
* Coordinate emails and meeting confirmations
* Maintain strong communication standards across all operations

Planning & Coordination

* Prepare daily operational schedules
* Help structure workflow systems
* Assist with process improvement and execution management

* Excellent spoken and written English
* Strong organisational ability
* High attention to detail
* Ability to multitask under pressure
* Strong communication skills
* Fast learner
* Reliable internet connection
* Quiet professional work environment
* Experience with Google Workspace

Highly Preferred

* Construction industry experience
* Recruitment coordination experience
* HubSpot CRM experience
* Executive assistant or operations support experience
* Experience supporting Australian companies

* Perth, WA business hours alignment preferred
* Monday to Friday
* Potential Saturday coordination when required
