Project Manager and Executive Assistant

Vibrant Yoga is a growing wellness company focused on helping individuals and teams thrive through yoga, meditation, and wellness programs. We work with both businesses and individuals through virtual and in person offerings.

We are a small, fast moving team where everyone contributes, adapts, and supports each other. Our work is rooted in wellness, mindfulness, growth, and helping people feel better in their bodies and lives.

This role is best suited for someone who genuinely values wellness and healthy living. You do not need to be a yoga teacher, but you should have a personal connection to wellness, whether through yoga, fitness, meditation, mindfulness, nutrition, personal growth, or another consistent practice.

Role Overview

We are looking for a highly organized, proactive Project Manager and Executive Assistant to support day to day operations and work closely with the founder.

This role is ideal for someone who is detail oriented, resourceful, dependable, and comfortable wearing multiple hats. You will be a key support system, helping keep projects moving, managing workflows, creating structure, and jumping in wherever needed.

This is less about rigid responsibilities and more about being adaptable, solution oriented, and committed to helping the business run smoothly.

What You Will Do

Operations and Project Management

Manage multiple projects at once and keep everything organized and on track
Build and maintain systems in Notion and other tools
Create and document SOPs to streamline workflows
Identify inefficiencies and suggest improvements
Coordinate schedules, timelines, and internal processes
Assist with onboarding and offboarding tea ---------- mbers
Make basic edits on the backend of our WordPress website, or be willing to learn
Provide operational support to the founder and team

Founder and Team Support

Act as a right hand support to the founder on day to day tasks
Jump in quickly on urgent or changing priorities
Take initiative and figure things out independently
Help plan tea ---------- etings and improve internal processes
Stay responsive on Slack, email, and other communication channels
Support the team with tasks big and small

Content and Marketing Support

Create and schedule social media content for LinkedIn and Meta using Canva
Manage and plan content calendars weeks in advance
Write and edit weekly blog content
Refine AI generated content for clarity, tone, and brand voice
Help keep marketing projects organized and moving forward

Reporting and Admin

Prepare monthly reports, including financial and social media reports
Run biweekly payroll reports
Track key metrics and keep records organized
Maintain spreadsheets, trackers, and recurring admin systems
Make sure important details do not fall through the cracks

What We Are Looking For

Strong organizational and project management skills
Someone who genuinely enjoys systems, structure, and follow through
Tech savvy and comfortable with tools like Notion, Slack, Canva, Google Workspace, and social platforms
Proactive self starter who does not wait for instructions
Able to handle multiple priorities and adapt quickly
Strong attention to detail to prevent errors
Comfortable receiving and applying feedback
Strong written communication skills
Personal interest in wellness, yoga, fitness, meditation, or personal growth
Background in business, marketing, wellness, or operations is a plus
Experience with Canva and content creation is a plus
WordPress experience is a plus, but willingness to learn is also welcome

This is a support heavy role in a small company. Things move fast, priorities shift, and no task is too small.

You will be stepping in wherever needed, helping bring structure to chaos, and making the business run more smoothly.

The right person for this role enjoys being behind the scenes, keeping things organized, noticing what needs to be done, and following through without needing constant reminders.

Compensation and Hours

Part time: 15 to 20 hours per week
Flexible schedule, with some overlap during US business hours
Opportunity to grow into a full time role after 90 days
