As we continue to grow, we need a highly capable Virtual Executive Assistant to help our leadership team stay organized, efficient, and focused on driving the business forward.
Who You Are
You’re an experienced Executive Assistant or Operations Professional who thrives in a fast-paced environment, takes ownership of tasks, and excels at keeping leadership organized. You have a strong background in executive support and project management, with the ability to prioritize multiple projects, maintain structure, and solve problems independently. While marketing experience is a plus, the primary focus of this role is executive and operational support.
Key Responsibilities
Administrative Support: Manage
Project & Task Coordination: Oversee day-to-day to-do lists and ongoing projects, ensuring timelines and deliverables are met.
Vendor & Partner Coordination: Liaise with service providers for both business and personal needs (e.g., office contractors, IT support, legal, financial services).
Process & Operations Management: Organize files, maintain records, and ensure efficient document management (Google Drive, CRM, task management tools).
Problem Solving & Initiative: Identify inefficiencies, suggest improvements, and take proactive steps to streamline operations.
Qualifications
Proven experience as an Executive Assistant, Operations Coordinator, or in a similar administrative/project management role
Strong organizational and time-management skills with exceptional attention to detail
Excellent written and verbal communication skills
Tech-savvy – proficient in Google Workspace, task management tools, CRM systems, and remote collaboration tools
Ability to multitask and adapt to changing priorities with a proactive approach
High level of accountability and discretion when handling sensitive information
Bonus: Experience in the real estate, mortgage, or sales industries is helpful but not required.
Position Details & Requirements
This is a full-time, exclusive position – candidates must not have competing commitments.
Work hours: 8:00 AM – 5:00 PM Mountain Time (Denver, CO, USA), Monday–Friday.
Fully remote but must be available and responsive during posted work hours.
