THE ROLE
Sales data is the core of the decisions our clients make. Every client we serve runs their business off their numbers. When the tracking is right, they scale with confidence. When the data is wrong, every decision built on it is wrong too. That's why we need someone who takes this seriously.
You'll work directly alongside the team, receiving in-depth task briefs via Loom recordings and written docs. You'll be expected to execute independently — problem-solving on your own first, using AI tools like Claude and ChatGPT to figure things out, and asking smart questions when you genuinely need direction. You won't be micromanaged, but you will be held to a high standard.
We're looking for someone who is sharp, detail-obsessed, proactive, and genuinely willing to learn. Someone who catches the discrepancy nobody else noticed and flags it before it costs anyone money. If you have knowledge of the coaching, agency, or info product space — that is a very big plus. You'll understand the business logic behind the numbers you're tracking, not just the data entry.
AI is central to how we work. You'll be using AI tools at every level of the role — from problem-solving and auditing data to building reports and streamlining processes. Your knowledge and comfort with AI is really important to us.

SUCCESS METRICS
- Data accuracy: All dashboards, trackers, and CRM data are clean, accurate, and trustworthy across client accounts
- Reporting quality: Every report is clear, on time, and easy for the team to act on
- Speed: Tasks are completed efficiently without sacrificing accuracy
- Visibility: Every task is logged in Notion with a clear process and visibility on what you've done
- Initiative: You regularly catch issues and suggest improvements nobody asked for
- Communication: Daily updates via Slack, proactive flagging of issues, clear and responsive communication at all times
CORE RESPONSIBILITIES
Data Tracking & Dashboards
Build and maintain sales tracking across the full pipeline: lead source, booked, showed, offer made, closed
Maintain the key metrics: show rate, close rate, offer rate, cash per booked and live call, cost per call, ROAS, AOV, pacing, and per-rep breakdowns
Build and manage dashboards in Google Sheets, Airtable, Looker, or Supabase
Keep one clean source of truth per client
Create reliable webhook systems for lead capture and payment tracking
Data QC & Auditing
Cross-check CRM, dashboard, and rep-reported data against each other and flag every discrepancy
Match leads across systems when data breaks, and confirm attendance and activity
Audit speed-to-lead and rep activity against what was actually logged
Run the recurring audits that keep reported numbers honest
Track strikes, missed KPIs, and process violations against agreed rules, and keep the accountability data current and visible
We pride ourselves on having very accurate and in-depth data — maintain data hygiene across all client dashboards, tracking sheets, and CRMs to the highest standard
Reporting & Flagging
Send daily reporting into Slack: activity, pickup rates, sales review
Flag broken data, bad pacing, or slipping performance before anyone has to ask
Pull call transcripts and run them through AI to surface what needs review or escalation
Workflow Maintenance & Recurring Ops
Maintain CRM workflows and automations, and keep the small supporting pieces in place
Keep mandatory reporting forms (EOD/EOC equivalents) clean so the downstream data holds
Troubleshoot broken workflows and fix the little things fast, before they compound
Handle recurring ops admin that keeps each client's backend clean
Process & Communication
Log every task in Notion with a clear process and visibility on what you've done
Record Loom videos for training and reference when building new systems
Communicate daily progress, blockers, and completed work via Slack
Flag issues proactively — don't wait to be asked

REQUIREMENTS
Excellent written and spoken English — non-negotiable
You can actually read sales data and understand what the numbers mean, not just enter them
Obsessive attention to detail — you catch what others miss
Comfortable in spreadsheets and at least one dashboard or CRM tool (Google Sheets, Airtable, Looker, GoHighLevel, Close CRM)
Skilled at problem-solving — you can work out why the data is wrong and fix it
Strong communicator — you're clear, responsive, and proactive in how you share updates, ask questions, and flag issues
Familiar with how data maps between tools
Reliable computer with a fast, stable internet connection (must be working 95% of time)
Comfortable working autonomously from Loom briefs and written docs
Big plus:
Knowledge of the coaching, agency, or info product space
Familiarity with sales metrics, webinars, or call funnels
Automation experience in Make, Zapier, or GoHighLevel
Strong AI proficiency across tools and workflows

WHAT EXCELLENCE LOOKS LIKE
The numbers are always right. Discrepancies get caught and fixed before anyone makes a decision off bad data. Reports land on time without being chased. You flag the problem nobody else saw coming.
ROLE STRUCTURE
Approximately 10-15 hours per week
Our team primarily works Pacific Time (PST) but we're flexible — ideally some overlap with EST or UK hours, and this can be discussed and arranged with what suits best for you
You'll work directly alongside the team and occasionally communicate with clients in shared Slack channels
Compensation: $300-$450/month depending on experience, with a clear path to more hours and pay as you grow with us
We will move from hourly tracking to a fixed monthly salary once we understand the workload and your output speed, typically within the first 1-2 months
This is a long-term role with plenty of room for growth — not a quick freelance gig
