With a fast-moving, growing business, there’s too much on his plate, and he needs a sharp, resourceful Project Manager to step in and streamline operations. This role is for someone who can take charge, solve problems, and keep things running smoothly—so he can focus on the bigger picture. From streamlining operations to handling key initiatives, this role is all about bringing order to the chaos and making things happen. Responsibilities of the Project Manager:

Project Management & Organization
*Oversee and manage cross-functional projects across marketing, sales, engineering, and general operations
*Handle both long-term and short-term projects, each with varying scopes and objectives
*Utilize Trello to track and organize all project tasks
*Lead and prioritize quarterly tasks and weekly projects to ensure timely and efficient execution
*Conduct regular check-ins with teaUpgrade to see actual infombers to track milestones and ensure deadlines are met
*Maintain up-to-date and accurate project information to avoid delays
*Proactively identify and resolve potential issues that could impede project progress
*Organize and lead meetings, ensuring action items are followed up on and team accountability is upheld
*Contribute to the development and maintenance of Standard Operating Procedures (SOPs) to streamline workflows and improve operational efficiency
*Regularly update and refine SOPs to ensure they remain effective and relevant


Lead Management Support:
CRM Workflow/Pipeline Management:
*Assist in managing CRM workflows and pipelines, ensuring leads are tracked and nurtured through the sales process
Automation & Workflow Optimization:
*Set up, maintain, and improve HubSpot CRM automation and workflows, addressing any gaps or issues
Task Management & Follow-Up:
*Ensure follow-up tasks are triggered and appropriately applied to prospects as they progress through workflow stages
Data Entry & Tracking:
*Handle HubSpot CRM tasks, including data entry and tracking key performance metrics
Performance Reporting:
*Run sales and marketing performance reports to identify underperforming areas and communicate these to the sales team
*Create and automate performance report generation, sending them to the client for review and to the sales team for action
Scheduling Calls/Appts:
*Book appointments on the client’s calendar based on his direction, ensuring the right prospects are scheduled efficiently


Delegation & Administrative Support:

Email
Management:
*Assist in triaging and organizing the client’s inbox by labeling, color-coding, unsubscribing from unnecessary emails, and keeping it clutter-free
Calendar Management:
*Maintain an organized calendar, scheduling, and protecting the client’s time based on his preferences and priorities
Reminders & Confirmations:
*Send reminders and confirmations for client and prospect appointments, ensuring timely follow-ups
Gatekeeper:
*Act as a gatekeeper, ensuring that non-essential appointments or tasks don’t take priority over the client’s key commitments (e.g., protect Thursdays for critical tasks)


Long-Term Strategic Support:
*Learn the client’s decision-making patterns and execute tasks with minimal supervision, acting as a reliable support system
*Manage light financial reporting and assist with basic accounting or payroll tasks, though full delegation would require additional trust-building. (Nice-to-Have)
