JOB OVERVIEW

We are looking for a proactive and highly organized Personal Assistant to support the CEO. The ideal candidate will have a minimum of 2 years of experience as an Executive or Personal Assistant. This part-time position involves working closely with the Senior PA to the CEO, including stepping in to provide seamless support during her absence. Initially, the role requires a commitment of 4 hours per day (morning shift, Sydney time), but may need to render 4-6 hours per day depending on workload, performance and business needs.

Key Responsibilities:

• Shadow the Senior PA: Gain in depth knowledge of processes and routines and able to seamlessly step in and manage tasks especially when the Senior PA is unavailable.

• Calendar Management: Efficiently organize and maintain the CEO’s calendar using Google Workspace, ensuring accurate scheduling of appointments, meetings, and events.

Email Management: Monitor and handle the CEO’s inbox, ensuring timely and professional communication and responses.

• Office Coordination: Liaise with Australian offices to follow up on tasks and deadlines, demonstrating strong communication skills and urgency.

• Task Management: Proactively track deadlines, ensuring nothing is overlooked, and take the initiative to follow up without prompting.

• Document Preparation: Support the creation, editing, and management of documents as needed.

• Administrative Support: Perform various administrative tasks to ensure the CEO’s daily operations run smoothly and efficiently.

Requirements:
• Minimum of 2 years of experience as an Executive Assistant or Personal Assistant (non-negotiable).

• Excellent written and verbal communication skills, with the ability to handle professional communication with Australian offices.

• Sense of urgency: Ability to prioritize tasks and respond quickly to time-sensitive matters.
• Proactive mindset: A self-motivated individual who consistently takes initiative and meets deadlines without the need for oversight.
• Proficiency in Google Workspace: An expert at managing calendars, emails, and documents.

• Availability during Sydney morning hours: 4 hours per day initially, with the flexibility to extend to 4-6 hours based on business needs.

• A passion for organization, attention to detail, and ensuring that the CEO’s day-to-day operations run efficiently.
