Executive & Operations Assistant to the Founder
About Us
Oliva Dorado is a premium olive oil company built around quality, authenticity, and the Mediterranean lifestyle. We work directly with a small family owned farm in Spain and are passionate about creating exceptional products while building a thoughtful, customer-focused brand.
We are a small but rapidly growing company looking for a highly organized, proactive Executive & Operations Assistant to work directly alongside our Founder and help keep the business running smoothly as we continue to grow.
At its core, this role is designed to provide strong support to the Founder. Responsibilities will vary based on the Founder’s day-to-day needs and will continue to evolve as the company grows. This role is best suited for someone who is adaptable, proactive, and comfortable working in a fast-moving environment where priorities may change from week to week.
About the Role:
You will work directly with the founder across a variety of business tasks, administrative functions, and personal tasks. Some tasks will be highly structured, while others will require independent thinking, research, communication, and initiative.
The ideal candidate is detail-oriented, reliable, organized, professional, and comfortable wearing many hats.
Responsibilities
Executive Support:
- Manage calendars and scheduling
- Coordinate meetings and appointments
- Organize
- Follow up on outstanding action items
- Conduct online research and gather information
- Assist with travel planning and logistics
- Research
Customer Experience:
- Respond to customer inquiries via
- Help resolve customer issues professionally and efficiently
- Maintain a high standard of customer service
Wholesale & Partnership Support:
- Assist with wholesale account management (typically grocery stores)
- Support outreach efforts to prospective partners
- Track communications and follow-ups
- Help maintain relationships with existing wholesale customers
Marketing & Website Support:
- Publish finalized social media content
- Upload and format blog posts on the website
- Assist with light administrative marketing tasks
- Assist in maintaining organized digital files and content libraries
Operations & Administrative Support:
- Create and maintain spreadsheets and trackers
- Assist with documentation and process organization
- Handle special projects as needed
- Support day-to-day business operations

Required:
- Excellent written and verbal English
- Strong organizational skills
- Ability to manage multiple priorities simultaneously
- Strong follow-through and reliability
- Quick learner who is comfortable adopting new software and systems
- Exceptional attention to detail
- Ability to work independently with minimal supervision
- Fast responsiveness
Preferred:
- Experience supporting founders, executives, or small business owners
- Customer service experience
- Experience with Shopify, Google Workspace, Social Media, Canva, or similar tools
- Experience working remotely for U.S.-based companies

Compensation & Expected Hours
- Starting pay: $4.00 USD/hour
- Performance-based raises, bonuses, and expanded responsibilities based on demonstrated success.
- We anticipate 10–20 hours per week, though hours may vary based on business needs.
- Some overlap with U.S. business hours is preferred.
- For the right person, we hope this role will grow into one with increased hours, responsibilities, and long-term opportunities as Oliva Dorado continues to grow.
