JOB OVERVIEW

About the Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO across multiple businesses operating in the construction, marketing, finance, and technology industries.
This is more than a traditional Virtual Assistant role. We are looking for someone who can help manage priorities, streamline communication, keep projects moving forward, and ensure nothing falls through the cracks.
The ideal candidate is highly organized, takes initiative, and enjoys bringing structure to fast-moving businesses.

Key Responsibilities

Email
Management
- Manage and organize the CEO's inbox across multiple businesses
- Prioritize important emails and communications
- Draft responses and follow-ups when required
- Monitor outstanding conversations and ensure timely action
- Maintain inbox organization and efficiency

Task & Priority Management
- Help the CEO stay focused on high-priority activities
- Track tasks, deadlines, and action items
- Create and maintain organized task lists
- Follow up on outstanding items and commitments
- Provide daily and weekly priority summaries

Executive Support
- Coordinate meetings and appointments
- Prepare meeting notes and action items
- Assist with documentation and process creation
- Organize information across multiple business ventures
- Provide general administrative and operational support

Project Coordination
- Help keep projects moving across different businesses
- Coordinate with tea ---------- mbers, contractors, and suppliers when required
- Ensure accountability on key deliverables and deadlines

Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, Operations Assistant, or similar role
- Excellent written and verbal English communication skills
- Exceptional organizational and time management skills
- Strong attention to detail
- Ability to work independently with minimal supervision
- Proactive mindset and strong problem-solving ability
- Comfortable handling confidential business information

Bonus Skills
- Experience supporting founders, CEOs, or business owners
- Familiarity with GoHighLevel (GHL)
- Experience with CRM systems and sales pipelines
- Experience working in construction, marketing, finance, or technology businesses
- Knowledge of project management tools such as ClickUp, Asana, Trello, ---------- , or similar

- Important tasks and deadlines are never missed
- Communication and follow-ups happen promptly
- Projects continue moving without constant oversight
- The CEO has clear visibility on priorities and next actions
