JOB OVERVIEW

Hi there!

We are seeking a highly organized and proactive Executive Assistant to provide essential support across multiple areas, including bookkeeping, onboarding, administrative tasks, and finance coordination. This role will require a skilled multitasker with strong communication abilities and attention to detail, who can manage QuickBooks data entry, assist with team onboarding, and help drive operational success. Key Responsibilities:

-Manage QuickBooks data entry and financial updates, ensuring accuracy and timeliness.
-Maintain spreadsheets for inventory and financial tracking.
-Monitor and update financial records for reporting and decision-making.
-Develop and maintain onboarding materials, including training videos and task lists.
-Facilitate smooth onboarding for new hires, ensuring proper integration.
-Organize and oversee monthly client success calls, tracking meetings and follow-ups.
-Prepare and update task lists and reports for team management.
-Provide insights on hiring specialized roles to support team growth.
-Assist in creating a development plan for the Executive Assistant role.
-Track billing cycles and ensure timely processing of fees and invoices.
-Ensure smooth operation of staffing and processes across departments.

Qualifications:
-Proven experience in administrative support, executive assistance, or a similar role.
-Strong working knowledge of QuickBooks or other financial management software.
-Excellent organizational skills with an ability to prioritize and manage multiple tasks.
-Strong attention to detail, especially in handling financial and operational data.
-Experience with onboarding processes and creating training materials is a plus.
-Strong communication skills, both written and verbal, to liaise with various stakeholders.
-A proactive, problem-solving mindset and the ability to adapt to a dynamic work environment.
