Executive Assistant / Operations Coordinator

Full-Time | Long-Term Opportunity

Join a Growing Creative Agency

We're looking for an exceptional Virtual Executive Assistant who wants to become an important part of a growing creative company.

This is not a traditional assistant role where you simply wait for tasks to be assigned. We're looking for someone who enjoys bringing order to chaos, taking ownership, solving problems, and helping a business owner operate more effectively.

You'll work directly with the founder of a creative agency specializing in website design, branding, digital marketing, and business growth. As the company continues to grow, we need someone who can step in, learn quickly, and proactively take responsibilities off the owner's plate.

If you're the type of person who notices something needs to be done and simply handles it, we'd love to meet you.

What You'll Be Doing

Responsibilities may include:

Managing projects and task lists
Organizing files, folders, and digital assets
Coordinating with clients and tea ---------- mbers
Sending and drafting emails
Following up on outstanding tasks and deadlines
Managing calendars and appointments
Creating and maintaining internal processes
Assisting with proposal and document preparation
Organizing client information and project records
Helping ensure projects move forward on schedule
Supporting marketing and business development activities
Taking ownership of recurring operational tasks

Required Skills
Excellent English communication skills (written and verbal)
Strong organizational abilities
Experience with email and calendar management
Familiarity with Google Workspace
Experience working remotely
Ability to follow through and meet deadlines

Bonus Skills

Experience with any of the following is a plus:

Project management software
CRM systems
WordPress
HubSpot
Canva
Social media management
Basic graphic design
AI tools such as Claude
Digital marketing agencies or creative businesses

What Success Looks Like

Within the first few months, you'll be helping create systems, keeping projects moving, reducing bottlenecks, and allowing the business owner to focus on growth, strategy, and client relationships.

You'll have the opportunity to become a key member of a growing creative agency where your contributions will be visible and appreciated.
