JOB OVERVIEW

We are seeking a highly skilled and adaptable Executive Assistant to provide exceptional support to our CEO and executive team. This critical role is designed to relieve operational pressure from the CEO, ensuring seamless business operations in a fast-paced environment. The ideal candidate is detail-oriented, proactive, tech-savvy, and thrives on coordinating across multiple teams. You will play a pivotal role in keeping the business running smoothly, allowing the CEO to focus on creative tasks and strategic growth.

Key Responsibilities:
- Morning Routine & Daily Reporting:
- Start by 4:30 AM MST to prepare and deliver a comprehensive daily report by 6 AM, summarizing key metrics from Google Analytics, Google Search Console, SEO tools, and Groundhogg CRM.
- Review and prioritize support tickets, outstanding issues, and pending tasks.
- Track open projects, upcoming meetings, podcast schedules, and QA tasks with real-time updates.
- Team & Project Coordination:
- Collaborate with the WordPress engineer, WordPress developer, graphic designer, and content writer to ensure smooth workflows.
- Use Microsoft Planner to track and update projects, stepping in for teaUpgrade to see actual infombers as needed to maintain continuity.
- Partner with co-founder Dean to align on company goals and tasks.
- Content & Social Media Management:
- Oversee the repurposing of content (e.g., videos to blogs, social media, marketing emails).
- Review all videos for accuracy, clarity, and brand alignment.
- Manage YouTube comments and social media interactions.
- Support live podcast sessions by taking notes and capturing action items.
- Website & Marketing Oversight:
- Manage website design projects, ensuring content adheres to company guidelines.
- Drive marketing initiatives using tools like Envato, Figma, and Looker.
- Integrate SEO strategies and Google Search Console insights into reports and workflows.
- CRM & Data Management:
- Track leads and follow-ups using Groundhogg CRM.
- Maintain accurate data and monitor campaign performance metrics.
- Generate actionable insights using Google Looker Studio.
- Podcast Administration:
- Prepare for the daily 9 AM MST podcast by researching guests, topics, and key points for the CEO.
- Support live podcast sessions and manage the production queue (7 long-form videos and 10-15 shorts weekly).
- Big-Picture Thinking & Adaptability:
- Translate high-level "blue sky" ideas into actionable tasks using strategic frameworks like "The Art of War" and Dan Martell’s "Definition of Done."
- Operate independently, ensuring tasks are completed without constant oversight.

Work Hours & Flexibility:
This role is designed to fit within an 8-hour workday, typically starting at 4:30 AM MST to deliver the morning report by 6 AM MST and wrapping up by 3:30 PM MST (including a lunch break). However, occasional flexibility may be required (e.g., for complex podcast days or team absences), potentially extending the day to 10-12 hours. Most days, efficient time management and tool usage will keep the role within 8 hours.
