JOB OVERVIEW

Job Description:
We are seeking a highly organized and detail-oriented Executive Assistant with experience supporting U.S. General Contractors and the real estate/construction industry. The ideal candidate will have expertise in permitting, construction scheduling, documentation, site visits, licensing requirements for realtors in different states, and administrative support. Key Responsibilities:
-Construction & Permitting Support: Assist in obtaining permits, tracking applications, and coordinating with city or county offices.
-Scheduling & Calendar Management: Oversee construction schedules, book appointments, coordinate meetings, and manage deadlines.
-Documentation & Compliance: Organize, edit, and merge documents related to construction projects, real estate licensing, and compliance requirements.
-Site Visits Coordination: Assist with scheduling and organizing site visits, ensuring all necessary documentation is prepared.
-Licensing & Regulatory Requirements: Research and maintain licensing requirements for realtors in various U.S. states, ensuring compliance and timely renewals.
-Administrative & Bookkeeping Tasks: Manage booklists, documentation, and data entry to keep operations streamlined.

Qualifications:
-Proven experience as an Executive Assistant in the construction, real estate, or general contracting industry.
-Strong knowledge of U.S. permitting processes, construction scheduling, and licensing requirements.
-Proficiency in Microsoft Office (Word, Excel, Outlook, PDF editing tools).
-Ability to edit and merge documents efficiently.
-Strong organizational and multitasking skills with keen attention to detail.
-Experience with calendar management and scheduling tools.
-Excellent communication skills and ability to liaise with contractors, vendors, and government agencies.

Preferred Skills:
-Experience with construction management software (Procore, Builder trend, or similar).
-Knowledge of real estate licensing processes in multiple U.S. states.
-Familiarity with permitting software and state/local regulations.
