We are seeking a highly organized and proactive Executive Assistant with proven experience supporting COOs, CEOs, and other C-level executives. This role requires exceptional operations management, scheduling,
Key Responsibilities
Provide high-level administrative support to a COO/CEO.
Manage executive schedules, meetings, and calendars to ensure no conflicts.
Filter and prioritize
Draft, proofread, and send
Coordinate travel arrangements (airfare, hotels, event bookings, etc.).
Handle confidential documents (e.g., MSAs, SOWs) with discretion.
Join meetings, take notes, and ensure follow-ups on action items.
Task & Deadline Management
Prepare a daily task list by 8:30 AM, detailing completed and pending tasks.
Set reminders for high-priority deadlines and tasks.
Track and manage projects using tools like Notion.
Communication & Coordination
Act as the main point of contact for internal and external stakeholders.
Proactively follow up via
Assist in event planning and coordination.
Qualifications
3-5 years of experience as an Executive Assistant to a COO, CEO, or other C-suite executives.
Strong background in operations, scheduling, and executive
Exceptional organizational and time-management skills.
Proficient in Microsoft Office Suite and Google Workspace (G Suite).
Experience using project management tools (e.g., Notion) is a plus.
Excellent verbal and written communication skills.
Familiarity with virtual meeting platforms (Zoom, Microsoft Teams).
Experience with Electronic Health Records (EHR) is a plus.
Remote work experience preferred.
