About the Role
We are seeking a highly organized and detail-oriented Purchasing Specialist & Executive Assistant to join our growing millwork company. This dual-role position combines purchasing and procurement responsibilities with executive administrative support.
The primary focus of this role is managing purchasing activities, including vendor sourcing, pricing negotiations, purchase order processing, and delivery coordination. Additionally, you will provide administrative support to company leadership by managing schedules, correspondence, and various executive tasks.
The ideal candidate is proactive, resourceful, and confident when communicating with vendors. They are skilled at negotiating pricing and terms, maintaining organized records, and ensuring projects stay on track.
Key Responsibilities
Purchasing (Primary Responsibilities)
Process purchase orders accurately and efficiently, from quote requests through order confirmation and delivery tracking
Negotiate pricing, payment terms, and lead times with vendors and suppliers
Build and maintain strong vendor relationships while developing backup suppliers for key product categories
Continuously compare pricing and sourcing options to identify cost-saving opportunities
Monitor open orders, follow up on delays, and resolve order discrepancies, including damaged goods, incorrect shipments, and billing issues
Maintain organized records of quotes, purchase orders, invoices, and vendor agreements
Executive Assistant (Secondary Responsibilities)
Manage executive calendars, appointments, and meeting schedules
Draft, manage, and respond to professional
Prepare reports, summaries, and business documents as needed
Assist with administrative projects and special assignments
Provide general administrative support to company leadership
Qualifications
Required
MUST HAVE EXCELLENT ENGLISH
Previous experience in purchasing, procurement, supply chain, or a related field
Construction industry experience strongly preferred
Working knowledge of construction materials and products, preferably millwork products such as doors, trim, moldings, cabinetry, casework, and custom woodwork
Strong negotiation skills with the ability to secure favorable pricing and terms
Excellent written and verbal English communication skills
Highly organized with exceptional attention to detail
Proficient in Microsoft Excel, Google Sheets, and
Ability to work independently with minimal supervision and effectively manage multiple priorities
Preferred
MUST HAVE EXCELLENT ENGLISH
Experience reviewing construction specifications, takeoffs, or architectural drawings
Familiarity with QuickBooks or similar purchasing/accounting software
Prior Executive Assistant or administrative support experience
