Job Title: Executive Assistant to the CEO

Jonathan Wang Design is a vertically integrated design firm specializing in commercial and residential architecture, interior design, and premium material sourcing with direct China procurement capabilities. We are a lean, high-performance team building a firm that is designed to last — and we are looking for a right-hand operator who can help our CEO execute at the highest level.
About This Role:
This is not a traditional assistant position. You will be the operational backbone of the CEO — translating vision into action, keeping the leadership team accountable, and making sure nothing falls through the cracks. If you are proactive, organized, a strong communicator, and eager to grow inside a fast-moving design firm, this role was built for you.
Core Responsibilities:
1. Daily CEO Debrief — Meet with Jonathan daily (15–30 min) to capture decisions, priorities, and commitments from his mind into a trackable system

3. Action Item Extraction — Read all meeting notes and client
4. CEO Tracker Ownership — Maintain the master goal and task tracker; ensure all items are assigned, delegated, and moving toward their targets
5. Leadership Team Coordination — Proactively check in with the design team lead, admin team, and interior team to monitor progress and escalate blockers to Jonathan only when necessary. Prior leadership experience and the ability to manage, motivate, and hold a team accountable is essential in this function
6. Project Milestone Tracking — Monitor active project deadlines and deliverables; flag risks before they become problems
Meeting Preparation & Follow-Up — Prepare agendas, capture notes, and distribute action items after every meeting
7.AI-Assisted Execution — Use JWD's AI operating system as a resource when navigating complex tasks or unfamiliar situations — you are expected to find answers, not wait for them

Jonathan's inbox is managed and responses go out within 24 hours
Every client commitment Jonathan makes is tracked and executed or delegated
The CEO tracker is current, accurate, and reviewed daily
Leadership team has clear task assignments with binary yes/no completion standards
Jonathan spends his time on design, clients, and strategy — not admin
You surface problems before Jonathan has to ask about them
