We are seeking a highly organized, proactive, and resourceful Business Operations Coordinator to support a growing healthcare organization and affiliated businesses.
This is not a traditional virtual assistant role. We are looking for someone with experience in both HR administration and business operations who can take ownership of projects, solve problems independently, and help keep multiple business functions running smoothly.
This position works directly with leadership and has significant opportunity for long-term growth and increased responsibility.
Responsibilities:
-Human Resources & Administration
-Coordinate employee onboarding and offboarding
-Prepare and manage employment agreements and HR documents
-Maintain personnel records and employee files
-Assist with recruiting, candidate screening, and interview coordination
-Track employee requirements, licenses, and compliance items
Business Operations
-Research vendors and obtain competitive quotes
-Source products, supplies, equipment, and service providers
-Coordinate purchasing, shipping, and logistics needs
-Compare vendors and present recommendations
-Assist with operational projects and process improvements
Executive Support
-Manage calendars, meetings, and scheduling
-Coordinate travel, appointments, and follow-up tasks
-Track projects, deadlines, and action items
-Conduct research and support special projects as needed
-Assist leadership with day-to-day administrative and operational needs
Required Qualifications
-Minimum 2 years of HR administration experience
-Minimum 2 years of business operations, operations support, or project coordination experience
-Excellent written and verbal English communication skills
-Strong organizational and time-management skills
-High attention to detail
-Strong problem-solving abilities
-Ability to work independently with minimal supervision
-Proficiency with Google Workspace and Microsoft Office
Preferred Qualifications
-Executive Assistant experience
-Recruiting or talent acquisition experience
-Vendor sourcing or procurement experience
-Experience supporting multiple businesses or departments
-Healthcare industry experience is a plus
