JOB OVERVIEW

This is a combined bookkeeping and administration role for someone with genuine depth in both areas. You will take full ownership of the financial function and run the day-to-day administrative engine of the business along with one of the directors, not as separate jobs but as one coherent responsibility.

The duties and responsibilities are as follows:

Financial Management
1. Full-cycle bookkeeping in Xero: invoicing, bank reconciliation, accounts payable and receivable, and payroll support
2. Independent preparation and lodgement of Business Activity Statements (BAS) in compliance with ATO requirements
3. Cash flow monitoring with proactive escalation to leadership where needed
4. Ongoing maintenance of financial records to a standard that holds up under scrutiny
5. Direct liaison with the external accountant and relevant advisors on financial matters
6. Periodic preparation of financial summaries and reports for executive review

Administration and Operations
7. Day-to-day operations management: scheduling, correspondence, document control, and executive support
8. Stakeholder coordination across internal teams and external partners, with consistent follow-through
9. Oversight of digital and physical filing systems and document governance
10. Supplier management, procurement support, and onboarding administration
11. Identification and implementation of process

The right candidate has been around long enough to know the difference between being busy and being effective. You have run a books function without someone checking your work, lodged BAS on your own initiative, and kept an office running while everyone else was focused elsewhere. Specifically, you bring:

– 2 to 3 years of bookkeeping experience ideally or at minimum, with advanced working knowledge of Xero
– A track record of independently lodging BAS on time and accurately
– Substantial administration experience where you held real accountability, not just a supporting role
– Native or near-native written and spoken English, with strong professional communication skills
– Comfort operating as the operational lead in a lean, high-trust team

– Practical experience applying AI tools to streamline workflows or eliminate repetitive manual processes
– Hands-on familiarity with Claude (Anthropic), particularly in a business or operational context
