# Backend Systems & AI Specialist (Part-Time)

Department: Operations & Systems
Reports to: Callum - Ops Lead
Model: Remote (Global) | 15-20 hours/week


We run an ops and AI consultancy for high-ticket coaching, info product, and agency businesses. We build the infrastructure these companies run on — automations, dashboards, CRMs, data flows, and AI-powered systems — and we build it to survive the founder stepping back. AI is woven into every level of how we work. Small team, high standards, craft-first.

## THE ROLE

We're adding a second pair of technical hands to our backend team. Every client we serve runs on the automations, dashboards, CRMs, and data flows this team builds. When these systems work, our clients scale. When they break, everything stops.

You'll work alongside the whole team — receiving task briefs via Loom recordings, written docs, and Slack from Callum and the rest of the team. You'll execute independently: problem-solving on your own first, using AI tools to figure things out, and asking smart questions when you genuinely need direction. You won't be micromanaged, but you will be held to a high standard.

AI is not a side skill here — it's the job. You'll use Claude, ChatGPT, and Claude Code daily: building automations, debugging broken workflows, drafting landing pages, writing Airtable scripts, and finding faster ways to do everything. If you're the type who reaches for AI before reaching for a tutorial, you'll fit right in.

## SUCCESS METRICS

- System reliability: automations, dashboards, and integrations run error-free across client accounts
- Build quality: every automation is clean and easy for the team to understand
- Speed: tasks completed efficiently without sacrificing quality
- Visibility: every task logged in Notion with a clear process and record of what you've done
- Initiative: you regularly suggest improvements nobody asked for
- Communication: daily Slack updates, proactive flagging of issues, responsive at all times

## CORE RESPONSIBILITIES

### Automation Building & Maintenance

- Build and optimize automations in ---------- , Zapier, and/or n8n across multiple client accounts
- Build and maintain GoHighLevel workflows, automations, and campaigns
- Troubleshoot failed workflows and restore full functionality fast
- Connect data flows between Airtable, Google Sheets, Close CRM, ActiveCampaign, and Slack
- Build AI directly into automations — classification, drafting, enrichment, routing

### AI-Powered Execution

- Use Claude and ChatGPT as your first stop for problem-solving, debugging, and building
- Use Claude Code (or similar) for scripts, Airtable automations, and small internal tools
- Quality-check and refine AI output — AI does the groundwork, you direct and polish
- Spot places where AI can replace manual work, then build it

### CRM & Data Infrastructure

- Set up and maintain Close CRM pipelines, tags, and configurations
- Set up and maintain ActiveCampaign email sequences with conditional logic
- Build and manage Airtable bases, dashboards, scripts, and reporting systems
- Maintain data hygiene across all client dashboards, tracking sheets, and CRMs — we pride ourselves on accurate, in-depth data
- Create reliable webhook systems for lead capture, payment tracking, and reporting

### Landing Pages & Client-Facing Assets

- Build and iterate on landing pages — AI does the groundwork, you direct, refine, and quality-check
- Perform quality control on funnels — test every step from opt-in to payment
- Ensure new funnels and offers integrate cleanly with the CRM and automation stack

### Process & Communication

- Log every task in Notion with a clear process and visibility on what you've done
- Record Looms for training and reference when building new systems
- Communicate daily progress, blockers, and completed work via Slack
- Flag issues before anyone has to ask

## TOOLS & TECH STACK

- Automation: Make, Zapier, n8n, GoHighLevel
- Data & Dashboards: Airtable, Google Sheets
- CRM & Marketing: Close CRM, ActiveCampaign, GoHighLevel
- AI: Claude, ChatGPT, Claude Code, Manus
- Web: Landing page builders, funnel tools
- Documentation: Notion, Loom
- Communication: Slack

## REQUIREMENTS

- Excellent written and spoken English — non-negotiable
- Strong, demonstrable AI proficiency — you use Claude or ChatGPT daily and can show real work built with them
- Experience building real automations in at least 3 of the tools listed above
- Strong technical and operational mindset — you connect the build and the business logic behind it
- Skilled at troubleshooting — you can diagnose why something broke and fix it fast
- Familiar with webhooks, APIs, and data mapping between tools
- Attention to detail — broken links, missed triggers, and sloppy data are unacceptable
- Clear, proactive communicator — updates, questions, and flags without being chased
- Reliable computer with fast, stable internet (working 95% of the time)
- Comfortable working autonomously from Loom briefs and written docs

Big plus:

- Familiarity with Claude Code or AI coding assistants
- Knowledge of the coaching, agency, or info product space
- Landing page design and web page building

## WHAT EXCELLENCE LOOKS LIKE

Every automation runs silently. Issues are solved before anyone notices. You ship improvements without being asked. When you get a brief, you deliver what was asked and suggest what wasn't.

## ROLE STRUCTURE

- 15-20 hours per week
- Our team works primarily Eastern Time (EST) but we're flexible — schedule can be arranged around what suits you
- You'll work with the full team and occasionally communicate with clients in shared Slack channels
- Compensation: $400-$600/month depending on experience, with a clear path to $1,200+/month as you grow with us
- We'll move from hourly tracking to a fixed monthly rate once we understand the workload and your output speed, typically within the first 1-2 months
- Long-term role with room to grow into more hours and responsibility — not a quick freelance gig
