JOB OVERVIEW

We are looking for a detail-oriented and proactive Virtual Assistant to support and maintain our sales and administrative operations. This role involves data entry, lead generation, and cold calling to connect with potential clients, property owners, and project leads. If you have experience in administrative support, lead management, or customer outreach, we’d love to hear from you! Experience in real-estate or construction industries is a plus!

Detailed Responsibilities:
Your daily responsibilities will include:
* Input and maintain client and project data in company databases, spreadsheets, and CRM systems.
* Research, collect, and update contact lists for property owners, developers, and contractors.
* Conduct outbound cold calls to potential leads, including homeowners, investors, and businesses.
* Follow up with leads via email, phone, and other communication channels to schedule meetings and consultations.
* Organize and manage project records, spreadsheets, and reports.
* Assist in verifying permits, bids, and contracts for accuracy and organization.
* Provide administrative support, including scheduling appointments and coordinating timelines.

Required Technical Skills and Experience:
To qualify for this position, you will need:
* At least 1 year of experience in data entry, cold calling, or administrative roles.
* Experience in lead generation and client outreach.
* Familiarity with CRM software and data management tools (e.g., HubSpot, Google Sheets, Microsoft Excel).
* Attention to detail for accurate data entry.

Soft Skills:

* A strong communicator who is confident in making calls to potential clients.
* Highly organized with the ability to manage large amounts of data efficiently.
* Persistent and self-motivated in reaching out to leads and following up on business opportunities.
* Able to follow industry-specific scripts while also adapting to different client needs.

Basic Skills:
In addition to strong communication skills, you’ll need familiarity with:
* Google Workspace (Docs, Sheets, Gmail, Calendar).
* Microsoft Office Suite (Excel, Word, Outlook).
* CRM systems (HubSpot, or similar).
* Property Info Search (MLS, Crexi, etc;).

Desired Technical Skills:
While not required, experience in the following areas would be advantageous:
* Knowledge of lead generation strategies.
* Familiarity with California Tax/ Licensing.
* Experience in permitting, zoning, and contract documentation.
