I am looking for an experienced Virtual Assistant who is smart, organized, detail-oriented, honest, resourceful, and comfortable working in an online business environment.
I am building a wellness coaching business focused on helping midlife women come back to the basics of wellbeing so they can feel stronger, clearer, more energized, and more connected to themselves. I am currently working through James Wedmore’s Business by Design program and preparing for a future beta launch.
I am looking for someone who can help with implementation, especially Kajabi setup, social media support, Canva formatting, simple tech/admin tasks, and creating SOPs/checklists for repeatable business processes.
This role will start with a few hours per week, likely around 4–6 hours weekly to begin, with the possibility of growing as the business evolves.
Main Responsibilities
You may help with:
Kajabi setup and updates
Uploading course content, downloads, thumbnails, descriptions, and links into Kajabi
Setting up Kajabi pages, forms, products, offers, checkout pages, and
Testing Kajabi links, forms, checkout pages,
Creating simple Canva graphics, quote cards, carousels, or post templates
Formatting social media captions from my drafts or notes
Scheduling social media posts
Organizing captions, links, images, and post assets for scheduled content
Repurposing my long-form notes,
Setting up forms, Zoom links, scheduling links,
Formatting Google Docs, worksheets, PDFs, and simple client materials
Creating SOPs and checklists for recurring tasks
Updating task status and communicating clearly when a task is complete or blocked
SOP / Process Documentation
A major part of this role will be documenting repeatable tasks.
For any recurring task, I would like you to help create a simple SOP or checklist that includes:
Purpose of the task
Tools used
Step-by-step instructions
Links or templates needed
Quality check before marking complete
Common issues or questions
The goal is to build a simple process library for the business so tasks can be repeated consistently and handed off to other tea
Required Experience
Strong preference for experience with:
Kajabi
Canva
Social media scheduling tools
Instagram and/or
Google Workspace
Zoom
Calendly or similar scheduling tools
Loom or other screen recording tools
Project management tools such as
Bonus if you have experience with:
James Wedmore’s Business by Design
Online course setup
Coaching businesses
Wellness businesses
Beta launches
Email
Simple funnel setup
SOP creation
The Right Person Is
Detail-oriented
Able to follow instructions carefully
Comfortable with tech
Resourceful and willing to figure things out
Honest about what they know and do not know
Clear and timely with communication
Good at creating simple checklists and SOPs
Able to make content look clean and professional without overcomplicating it
Comfortable starting small and growing with the business
This is not a full-time role right now. I am looking for someone I can begin working with for a few hours each week and hopefully build a long-term working relationship with as the business grows.
