This role supports one lead agent and plays a critical role in keeping transactions organized, clients informed, and operations running smoothly.
Position Overview
We are seeking a highly organized, proactive Virtual Transaction Coordinator to support real estate transactions, marketing coordination, and client care.
This role requires ownership, calm communication, and strong attention to detail. You will be deeply involved in contract to close processes and client communication.
This is a long term role for the right person.
Core Responsibilities
Transaction Coordination
-Manage buyer and seller transactions from contract to close
-Track deadlines and ensure documents are completed on time
-Schedule inspections, appraisals, walkthroughs, and closings
-Communicate with title companies, lenders, inspectors, and clients
-Proactively identify issues before they become problems
Marketing and Listing Support
-Coordinate listing photography, video, signage, and launch timelines
-Assist with social media scheduling and content organization
-Maintain CRM records and marketing campaigns
-Support
Client Care
-Serve as a first point of contact for client updates and questions
-Send thoughtful check ins, follow ups, cards, and gifts
-Support client events and relationship building initiatives
-Ensure every client interaction feels calm, professional, and intentional
Administrative Support
-Manage calendars,
-Prep the agent for listing appointments and contract writing
-Prepare presentations, reports, and market summaries
-Support special projects as needed
Qualifications
-Minimum 2 years experience in real estate support or executive assistance
-Strong understanding of the real estate transaction process
-Experience with Follow Up Boss, MLS, Dotloop, Asana, and Microsoft 365
-Comfortable with Canva and social platforms
-Highly organized with strong attention to detail
-Clear written and verbal communication
-Ability to work independently and manage deadlines remotely
-Proven ability to work US time hours or overnight schedules
