Shopify B2B Automation Developer (Draft Orders, ACH & Workflow Integration)

SHOPIFY B2B ORDER WORKFLOW BUILDER

We need an experienced Shopify automation specialist to complete a wholesale ordering system for Space Cannon. This is a backend workflow project, not a theme-design job.

CURRENT SYSTEM

Already in place:
• Shopify store and product catalog
• Retailer application with automatic approval
• Sales-rep attribution through the current Dealer ID/tag structure

The existing application and approval process must be preserved, connected, and tested—not rebuilt.

Preferred tools:
• Shopify Draft Orders
• Order Printer Pro
• Zapier, Make, Shopify Flow, tags, metafields, or note attributes as needed

Applicants may recommend a better option if they explain the benefit, cost, Shopify limitations, and monthly expense.

BUILD PHASES

Provide estimated hours and cost for each phase below.

PHASE 1 — EXISTING-SYSTEM AUDIT
Review the current retailer application, automatic approval, Dealer ID/tag attribution, Shopify setup, and installed apps. Confirm what already works and identify only what must be connected, corrected, or preserved.

PHASE 2 — NEW RETAILER / EXISTING RETAILER SELECTION
Create the starting choice for sales reps:
• New Retailer routes to the existing retailer application while preserving the correct sales-rep referral code.
• Existing Retailer allows selection of an approved retailer and continues directly to order entry.
• Duplicate retailer records must be prevented.

PHASE 3 — ORDER-ENTRY FORM
Build the sales-rep order form to capture:
• Retailer
• Products and quantities
• Approved pricing
• Shipping information
• Sales-rep attribution

The completed form must pass the correct information into Shopify.

PHASE 4 — SHOPIFY DRAFT ORDER AUTOMATION
Create the Shopify Draft Order, attach the correct retailer, preserve sales-rep attribution, reserve inventory, and prepare the order for invoicing.

PHASE 5 — AUTOMATIC SHIPPING
Configure and test the best method to calculate and apply shipping automatically to Draft Orders. Explain any required app, API, Shopify-plan limitation, fallback process, and monthly cost. Staff should only review shipping exceptions.

PHASE 6 — INVOICE AND ACH SETUP
Configure the Shopify Draft Order invoice email and Order Printer Pro PDF.

The invoice must include:
• Order details
• Shipping
• Taxes
• Total due
• ACH instructions
• PDF invoice link

ACH must be the only payment method presented. Remove customer-facing checkout buttons and links such as Confirm Order, Complete Your Purchase, Pay Now, and Visit Our Store.

PHASE 7 — PAYMENT AND FULFILLMENT CONTROLS
Keep fulfillment blocked until ACH payment is confirmed. Define the staff process for marking the order paid and releasing it to fulfillment. Staff should review exceptions only.

PHASE 8 — TESTING
Test the complete workflow on desktop and mobile, including:
• New Retailer routing
• Existing Retailer selection
• Automatic approval
• Duplicate prevention
• Sales-rep attribution is present on the Draft Order and persists through conversion to the completed order
• Draft Order creation
• Automatic shipping
• Invoice email and PDF
• Inventory reservation
• ACH confirmation and mark-paid workflow
• Commission reporting

PHASE 9 — SOP AND HANDOFF
Provide:
• Written staff SOP
• Screen-recorded walkthrough
• Administrator handoff

All accounts, automations, and documentation must be owned by Space Cannon.

PROPOSAL REQUIREMENTS

Please include:
• Your recommended approach and any improvements to the workflow
• Any Shopify, app, API, or plan limitations
• What computer will you use for this project? Include the model, processor, RAM, and operating system. Also list the development tools, automation platforms, and AI subscriptions you currently use and expect to use for this build.
• Expected monthly shopify 3rd party app costs
• Estimated hours and cost for each of the nine phases
• Your hourly rate, total estimated hours, and fixed-price quote
• Timeline by phase and earliest start date
• Two relevant examples of similar Shopify or automation work

Architecture review must be included in the proposal. We are not paying a separate architecture-validation fee.
