Position Details
Schedule: Part-time, 20 hours/week, Monday–Thursday
About the Role
We're looking for a Recruitment Coordinator to be the operational backbone of our search engagements. You'll work closely with our founder to manage the moving pieces across multiple active client searches at once: client intake, candidate sourcing and screening, interview coordination, and keeping every engagement on track from first conversation to placement. This is a hands-on, detail-driven role for someone who thrives on organization and follow-through, and who can keep several balls in the air without dropping any of them.
What You'll Do
Manage client intake processes for new search engagements, including building and maintaining intake forms, role profiles, and candidate evaluation frameworks
Source and screen candidates across construction, home services, manufacturing, and sales roles using Indeed, LinkedIn, and other sourcing channels
Maintain and manage candidate scorecard and client records within our ATS (Loxo)
Schedule and coordinate interviews between clients and candidates, tracking status across multiple simultaneous searches
Draft candidate summaries and outreach materials
Maintain accurate, up-to-date records of every active engagement so nothing falls through the cracks
Communicate professionally and promptly with both clients and candidates throughout the search process
Support the development of recruiting and operational systems as the business scales
Help identify where processes can be tightened, automated, or made more consistent across engagements
What We're Looking For
Minimum three years of experience in recruitment or talent acquisition
Required experience sourcing and posting on Indeed and LinkedIn
Required experience working in an ATS, ideally Loxo
Strong organizational skills and the ability to track multiple active projects without losing detail
Excellent written and verbal communication
Comfort working in a fast-paced, hands-on small business environment where priorities shift
Familiarity with Google Workspace (Gmail, Calendar, Drive) and a willingness to learn new tools and systems
A self-starter mentality, someone who notices what needs to get done and does it, rather than waiting to be told
Discretion and professionalism, since you'll be representing Butterfly Recruiting directly to clients and candidates
