JOB OVERVIEW

Pipedrive + Zapier VA (Part-Time, Long-Term) — Help 5 Brokers Actually Use Our CRM
Pay: $7/hr USD to start
Hours: 8 hrs/week ongoing support (short-term ramp-up will be more hours)
Location: Remote
Start: ASAP

Hi — I’m Dean Burnette, Managing Broker at Best Business Brokers (B3). We help business owners buy and sell businesses across Georgia and South Carolina (USA). We’ve been using Pipedrive for 10+ years, and we have 5 brokers/seats in the firm — but I don’t believe we’re using Pipedrive anywhere near its full potential.

I’m looking for an experienced Pipedrive VA who can clean up what’s messy, troubleshoot what’s breaking, and help our brokers follow a consistent pipeline — with automation support through Zapier.

This is for you if…
- You already know Pipedrive (not “I can learn it”)
- You enjoy building clean, reliable systems and workflows
- You can troubleshoot calmly: “Why didn’t this lead create a deal?”
- You can coach non-technical users and get adoption (without being pushy)

What you’ll do (weekly / day-to-day)
Pipedrive CRM Management
- Clean up and manage Contacts, Organizations, Deals, Activities
- Standardize naming, dedupe records, fix missing fields, tidy pipelines/stages
- Tag and segment leads by industry (manufacturing, logistics, service businesses, etc.)

Automation + Lead Routing Zapier
- Build/maintain Zapier scenarios
- Make sure leads from these sources land correctly in Pipedrive:
- BizBuySell
- CREXI
- Gravity Forms
- Email inquiries
- Apply routing/tagging/follow-up rules so nothing gets lost

Scheduling + Follow-Up Systems
- Set up booking links for seller calls (30 minutes)
- Confirm automations: form submit ? deal created ? activity created ? notifications sent ? follow-up sequence triggered

Reporting + Broker Support (very important)
- Weekly report to me:
- What’s moving
- What’s stale
- What’s missing next steps
- What needs my attention
- Help brokers understand and use Pipedrive better (light coaching, documentation, quick Looms)

Bonus (nice to have)
- Assist with “new listing” workflow coordination (photos/descriptions/categories/checklists)

You must have
- Proven Pipedrive experience (please show examples)
-  Zapier experience preferred
- Strong English + detail orientation + follow-through
- Comfort troubleshooting and fixing automation/data issues
