About Us

Connaught Joinery Ltd. is one of Ireland’s leading manufacturers of pre-hung doors, fire doors, door frames and bespoke joinery products. We work with builders, developers, contractors and merchants throughout Ireland.

We are growing quickly and are looking for an exceptional Operations & Production Coordinator to become a key member of our team.

This is NOT a basic Virtual Assistant role.

This is a long-term career opportunity for someone who enjoys organisation, planning, systems and solving problems.

About The Role

Your job is to make sure our business runs smoothly every single day.

You will become the link between:

* Customers
* Suppliers
* Production
* Management

Your role is to ensure that every order moves through our business correctly, on time and without anything being forgotten.

If you love organising, planning and making sure everything is under control, you will love this role.

Your Responsibilities

Operations Coordination

* Create Sales Orders.
* Create Purchase Orders.
* Update our ERP system accurately.
* Keep customer records updated.
* Ensure all orders contain complete information.
* Maintain organised documentation.

Production Planning

You will maintain our live production schedule.

You must always know:

* What jobs are in production.
* What jobs are waiting.
* What jobs are delayed.
* What jobs are ready.
* What jobs are due next week.
* What jobs are due in three weeks.

Nothing should ever surprise you.

Purchasing

* Raise Purchase Orders.
* Order stock and materials.
* Chase suppliers.
* Confirm delivery dates.
* Monitor overdue materials.
* Escalate problems before they affect production.

Customer Communication

Customers should never need to chase us.

You will:

* Reply to emails.
* Call customers with updates.
* Confirm delivery dates.
* Request missing information.
* Keep customers informed throughout production.

Excellent communication is essential.

Daily Operations

Every morning you will meet with our Production Manager.

Together you will review:

* Yesterday’s production.
* Today’s priorities.
* Delayed jobs.
* Supplier issues.
* Customer issues.
* Material shortages.

You will then update our systems and coordinate the day’s work.

Reporting

Prepare:

* Daily operational updates.
* Weekly production reports.
* Outstanding Purchase Order reports.
* Delayed order reports.
* Customer update reports.

You are:

Skills Required

* Excellent spoken English.
* Excellent written English.
* Strong Microsoft Excel skills.
* Strong Microsoft Outlook skills.
* Excellent organisation.
* Excellent attention to detail.
* Ability to manage multiple priorities.
* Reliable high-speed internet.
* Quiet home office.

Experience with ERP systems, manufacturing, purchasing, scheduling or logistics would be an advantage, but we are happy to train the right person with the right attitude.

What Success Looks Like

Within your first six months you should be able to:

* Know the status of every active customer order.
* Keep production planned at least three weeks ahead.
* Raise Purchase Orders without reminders.
* Keep customers informed before they ask.
* Keep suppliers on schedule.
* Prevent problems instead of reacting to them.
