ABOUT BREEZE IT

Breeze IT is a Managed Service Provider (MSP) based in Orange County, California. We provide IT support, systems management, and cybersecurity services to small businesses. Our team is growing and we are looking for a detail-oriented, experienced back-office professional to join us as a Vendor Coordinator.

ABOUT THE ROLE

The Vendor Coordinator is a back-office support role that works closely with our Account Manager and technical team. You will be the person who gets things done with our vendors — making calls, sending emails, managing tickets, following up, and seeing requests through to completion. You will not communicate directly with our clients. All client-facing work is handled by our Account Manager.

This is not a general admin role. We are looking for someone with real experience working in or alongside an MSP or IT services environment.

MSP experience is required.

WHAT YOU WILL DO

- Contact vendors on behalf of our clients to handle contract renewals, cancellations, pricing changes, and account updates
- Manage vendor-side support tickets escalated by our technical team — follow up, track progress, and drive resolution without needing to loop in our engineers
- Research vendor options, gather quotes, and prepare summaries to help our team make purchasing decisions
- Work with providers like RingCentral, Microsoft, Vonage, and Sage integrators to resolve billing issues, provisioning problems, and service changes
- Keep accurate records of vendor accounts, contract terms, and open action items in our PSA (Autotask)
- Document vendor processes and build runbooks so our team can handle recurring tasks consistently
- Coordinate with our Account Manager and accounting team to act on vendor items as they are identified and handed off to you

WHAT WE ARE LOOKING FOR

- 4+ years in a vendor management, procurement, or back-office coordination role
- Experience working within or alongside a Managed Service Provider (MSP) — this is required
- Familiarity with VOIP and telecom vendors (RingCentral, Vonage, or similar) including how their support and account portals work
- Strong written English — you will be representing Breeze IT in vendor communications
- Highly organized with the ability to manage multiple open items across different vendors at the same time
- Self-directed and comfortable working independently in a remote, async environment
