JOB OVERVIEW

Position Overview:

We are seeking a detail-oriented and process-driven Inside Sales Support Coordinator to assist our sales and operations team. This role supports revenue growth by maintaining rate accuracy, preparing customer pricing updates, and coordinating cost information with ocean carriers.

Working Hours

This is a full-time remote position operating Monday to Friday, 8:30 AM to 5:00 PM Pacific Standard Time (PST). The candidate must be available and responsive during these hours to ensure alignment with our North American operations.

Candidates must have their own reliable computer suitable for full-time remote work. Computer minimum specifications are below.

Rate Management & Maintenance:

Update and maintain internal rate sheets accurately and promptly
Enter and organize carrier rate updates in company templates and online folders
Monitor rate validity and expiry dates
Ensure correct surcharges (fuel, overweight, DTHC, etc.) are reflected
Ensure origin and destination free time is filed correctly

Customer Rate Administration

Input and maintain customer-specific monthly pricing
Prepare formatted rate sheets for customer distribution (with approval)
Monitor customer contract terms and expiration dates to ensure timely updates and renewals
Maintain organized records of all customer rate files

Carrier Cost Coordination

Request updated freight rates and surcharges from ocean carriers
Follow up on pending rate confirmations
Maintain organized documentation of carrier correspondence
Verify cost breakdowns for accuracy before submission to management

CRM & Sales Support

Update CRM with current pricing and shipment activity
Track quote issuance and follow-up schedules
Maintain clean and accurate pipeline records
Assist in preparing sales reports when required

Required Qualifications

Strong written and spoken English
Experience with spreadsheets (Excel or Google Sheets)
Comfortable working with structured templates
High attention to detail
Experience with CRM systems preferred
Ability to follow detailed instructions and meet deadlines
Prior experience in ocean freight forwarding or logistics is preferred but not required.

Computer minimum Specs:
Windows 10+ or macOS
8GB RAM (16GB preferred)
SSD recommended
Stable internet (25 Mbps+)
