Must be willing to be online 7 days a week (not a full day on weekends)

We are a rapidly growing e-commerce brand specializing in customized jewelry products, primarily serving customers across the EU through Shopify.

Over the past few months, we have expanded to six online stores and continue to scale rapidly.
We are looking for a detail-oriented and proactive Finance & Bookkeeping Staff to help oversee our financial operations, reporting, bookkeeping, and supplier financial administration.

Responsibilities

Financial Reporting & Analysis
Prepare monthly Profit & Loss (P&L) reports and provide insights into the company's financial performance.
Produce weekly reports covering revenue, marketing expenses, refunds/returns, COGS, and profitability for each store.
Monitor and analyze operating expenses and identify areas for cost optimization.
Track and assess payment processor fees, currency conversion impacts, and other transaction-related costs.
Assist management with financial analysis and decision-making through accurate reporting and dashboards.

Bookkeeping & Financial Administration
Manage day-to-day bookkeeping activities using Xero.
Maintain accurate financial records and ensure transactions are categorized correctly.
Update and maintain company finance sheets daily (Monday–Sunday), ensuring all sales, expenses, invoices, refunds, and financial transactions are accurately recorded and reconciled.
Reconcile bank accounts, payment processors, and financial statements.
Manage company invoices, including supplier invoices, customer invoices, and payment tracking.
Ensure all financial documentation is organized and up to date.
Support month-end closing procedures and coordinate with external accountants when required.

Supplier & Cost Management
Communicate with suppliers regarding quotations for new products.
Negotiate improved pricing and payment terms with suppliers where appropriate.
Review supplier invoices and audit them for discrepancies.
Monitor product costs and support efforts to improve margins.

Process Improvement
Create and maintain financial dashboards and reporting systems.
Improve and automate reporting workflows using Google Sheets and other tools.
Help establish scalable financial processes as the business continues to grow.

Qualifications
Proven experience in bookkeeping, financial operations, or finance management for a DTC e-commerce business operating on Shopify.
Strong experience using Xero or similar accounting software.
Familiarity with multi-currency businesses, including EUR, PLN, SEK, NOK and USD.
Experience working with payment processors such as Airwallex, Klarna, Stripe, PayPal, and Shopify Payments.
Advanced Google Sheets skills, including reporting automation and dashboard creation.
Strong analytical and problem-solving skills.
Experience reconciling transactions, auditing invoices, and maintaining accurate financial records.
Ability to create clear, actionable financial reports.
Excellent attention to detail and organizational skills.
High integrity and a strong commitment to confidentiality.
