JOB OVERVIEW

Ravine Group Insurance Services is a fast-growing commercial insurance agency based in Florida. We specialize in helping business owners, contractors, and trades companies across Florida protect what they have built. We are building out the systems that run our business behind the scenes, and we are looking for one highly organized systems assistant to build our referral partner tracking engine. If you are detail-oriented, structured, and take pride in turning messy information into clean, working systems, we want to hear from you. This is a build-and-organize role only. You are not creating our referral strategy — we have already designed it. Your job is to take our instructions, templates, and raw contact information and turn them into an organized, working system inside Google Sheets. You will assemble, format, and structure. You will not be asked to invent the plan.

WHAT YOU WILL DO:
— Build and organize our master partner database from the materials we provide
— Create partner categories and statuses (carriers, agents, mortgage brokers, bankers, CPAs, attorneys, restoration companies, contractors, networking contacts)
— Set up outreach and follow-up tracking columns that actually function
— Organize our templates and scripts into the system
— Build a simple referral pipeline: relationship, meeting, follow-up, referral
— Connect related documents and assets so nothing is scattered
— Deliver a short, clear operating checklist at the end

WHAT YOU ARE NOT ALLOWED TO DO:
— Create or change our referral strategy without written approval
— Do any cold outreach or selling — this is not a sales role
— Add new paid software or tools without asking first
— Deliver a half-organized system with missing or duplicated records

WHAT WE REQUIRE:
— Fluent written English and clear communication
— Proven experience building organized spreadsheets, trackers, or simple CRM systems
— Strong attention to detail — categories, statuses, and follow-ups must be exact
— Comfort following written instructions precisely
— Ability to show at least one system or spreadsheet you have built before
— Ability to start within 7 days of offer

WHAT WE PROVIDE:

THE REALITY OF THIS ROLE:
This is a project with a clear finish line. We pay by milestone: database structure, then templates and workflows, then the finished pipeline and checklist. If your work is strong, there is ongoing cleanup work available each month. If you are someone who is energized by taking chaos and making it orderly — this project was built for you.
