CRM Operations Associate
Job Type: Full-Time
Work Hours: Monday to Friday, 8:00 AM to 5:00 AM EST, with a 1-hour unpaid break.
Salary: $1,400 per month
Job Overview:
We are seeking a highly organized and detail-oriented CRM Operations Associate to support investor relations, marketing, and sales operations. In this role, you will manage and optimize HubSpot CRM, maintain accurate investor and marketing data, support campaign execution, streamline operational processes, and ensure a seamless experience throughout the investor lifecycle. You will collaborate closely with cross-functional teams to improve CRM performance, enhance reporting, and support strategic business initiatives.
Key Responsibilities:
Investor Relations
* Develop a deep understanding of the firm's investment strategies, investors, and portfolio.
* Customize HubSpot for investment pipelines, including new investments, amendments, and payoffs.
* Create and maintain customized dashboards, reports, and workflows throughout the investment lifecycle.
* Manage investor onboarding, account updates, and change requests while coordinating with fund administrators and custody partners.
* Maintain and expand the investor database in HubSpot, ensuring data accuracy and integrity.
* Assist with ad hoc projects, including annual audits, valuation processes, and cross-functional initiatives.
* Handle confidential and sensitive information with discretion and professionalism.
* Manage workflows to ensure deadlines are met and tasks are completed accurately.
Marketing & CRM Operations
* Configure, maintain, and execute marketing campaigns within HubSpot.
* Ensure CRM integrations and marketing technology function effectively and align with business objectives.
* Optimize investor relations, marketing, and sales processes to improve operational efficiency and scalability.
* Collaborate with marketing, sales, and other internal teams to support integrated campaigns and improve CRM data quality.
* Build and maintain marketing
* Analyze campaign performance and identify opportunities to improve lead nurturing and conversion.
* Support product positioning and messaging initiatives that align with investor relations, marketing, and sales objectives.
* Train internal teams on CRM best practices and promote consistent adoption of established processes.
Required Skills & Qualifications:
* Bachelor’s Degree
* At least 3 years of experience owning CRM functions with preference given to those with the following HubSpot Certifications:
* HubSpot Marketing Hub Software
* HubSpot Sales Hub Software
* Inbound Marketing (or Inbound)
* 4+ years of experience using HubSpot CRM in a marketing or project management role
* Familiarity with alternatives/private fund marketing preferred
* Resourceful, driven, and creative problem-solver
* Has a start-up mindset and has the desire to roll up their sleeves
* Strong project management skills with ability to simultaneously handle multiple projects
* Excellent communication and presentation skills, with impeccable attention to detail
* High level of integrity, professionalism, and sound judgment when handling confidential information.
* Data analysis capabilities and AI/tooling proficiency for process modernization
* Advanced Microsoft Office skills, with an ability to become familiar with firm-specific software
