CRM Builder Wanted: Set Up the System, Write the Sequences, Fill the Pipeline
Work description
We're a US-based performance marketing agency looking for a CRM Specialist who can build our CRM infrastructure from the ground up and own our outbound lead generation and email marketing efforts.

This is not a "set up a tool and hand it off" role. We need someone who can select the right CRM platform for our business, build it out, and then run it day to day. That means building pipelines, automations, email sequences, lead lists, and reporting, then continuously optimizing based on what's working.

If you've built a CRM system from scratch for an agency or B2B company and have a track record of generating leads through cold outreach and email campaigns, we want to hear from you.

What You'll Be Doing

CRM Build and Management
Evaluate and recommend the right CRM platform for a growing marketing agency. Build the entire CRM from scratch: pipelines, deal stages, contact management, lead scoring, tagging, and workflow automations. Maintain and optimize the system on an ongoing basis. Ensure data hygiene and accuracy across all records. Create dashboards and reports so leadership has visibility into pipeline health and campaign performance.

Cold Email Outreach
Build and execute cold email outreach campaigns targeting potential clients. Research and build targeted prospect lists based on ideal client profiles. Write outreach sequences that get responses, not just opens. Manage follow-up cadences and track response rates. Continuously test and refine subject lines, messaging, and targeting.

Lead Generation
Develop and manage a lead generation system that consistently fills the pipeline. Identify and qualify leads through outbound strategies. Set up lead capture workflows that move prospects from cold to warm to booked. Track and report on lead volume, conversion rates, and cost per lead.


Email
Marketing
Plan, build, and send email campaigns including newsletters, nurture sequences, re-engagement campaigns, and promotional emails. Segment audiences and personalize messaging based on where contacts are in the funnel. Set up automated email workflows triggered by user behavior or pipeline stage. Monitor deliverability, open rates, click rates, and conversions. Manage list health, including unsubscribes, bounces, and suppression lists.

What We're Looking For

Hands-on experience building a CRM from scratch, not just using one someone else set up. Strong knowledge of at least one major CRM platform (HubSpot, GoHighLevel, Salesforce, Zoho, Pipedrive, or similar). We're open to your recommendation on the right tool for us. Proven experience running cold email outreach campaigns that generated real results (share numbers if you can). Experience with email marketing platforms and automation tools. Understanding of deliverability best practices: SPF, DKIM, DMARC, domain warming, inbox rotation, and sender reputation management. Ability to write clear, concise outreach and marketing copy that sounds human, not templated. Experience building lead lists and prospect research. Strong reporting skills. You should be comfortable pulling data and telling us what's working and what's not. Self-starter who can own the entire function without being managed step by step. Agency or B2B experience is strongly preferred.

Bonus Points

Experience with tools like Instantly, Lemlist, Apollo, Smartlead, Hunter, or similar outbound platforms. Experience integrating CRM with other tools (Slack, Google Workspace, ad platforms, analytics). Familiarity with LinkedIn outreach as a complement to email. Experience building SOPs and documenting processes for future tea ---------- mbers.

Details

Schedule: Full-time, Monday through Friday, aligned with US Eastern Time business hours.
Type: Long-term contract with potential to grow.
Start: As soon as possible.
