Are you organized, personable, and great at juggling multiple priorities? We're looking for a Customer Service & Scheduling Coordinator to join our team, managing customer service calls and scheduling for our solar construction company across California.
This is a remote, full-time position aligned with the Pacific Time Zone (U.S.), working closely with our service technicians, project managers, and customers directly.
Responsibilities:
You will be the main point of contact for customers needing service support, including:
1. Answering and managing incoming service calls,
2. Scheduling and coordinating service appointments with field technicians based on availability and job priority.
3. Maintaining an organized service calendar and following up on rescheduling, delays, or cancellations.
4. Logging service requests, customer notes, and job details accurately in internal systems (Google Sheets, Zoho, or similar).
5. Communicating appointment confirmations, reminders, and updates to customers.
6. Coordinating with technicians to relay job details, special instructions, or customer concerns.
7. Following up with customers after completed service calls to confirm satisfaction and close out job records.
8. Assisting with basic administrative tasks such as filing, document organization, and report preparation.
9. Escalating urgent or unresolved issues to the appropriate team member promptly.
Qualifications:
1. Previous experience in customer service, scheduling, dispatch, or office administration is highly preferred.
2. Strong verbal and written English communication skills, with a friendly, professional phone manner.
3. Highly organized with strong attention to detail and follow-through.
4. Comfortable using Google Workspace (Sheets, Drive, Docs) or similar scheduling/CRM tools.
5. Able to multitask and stay calm under pressure when handling multiple calls or scheduling conflicts.
6. Proactive problem-solver who can work independently with minimal supervision.
7. Able to work flexible hours and thrive in a fast-paced, customer-facing environment.
