We are seeking an experienced ClickUp Systems & Operations Architect to design and implement a centralized project and operations management system for a growing multi-department digital agency.
Our work spans traditional marketing, social media management, and creator management. We need a scalable ClickUp workspace that improves visibility, standardizes execution, strengthens accountability, and allows multiple teams and client workflows to operate efficiently.
This is not simply a task-entry or basic workspace-setup role. We are looking for someone who can understand how the businesses operate, recommend the right structure, build the system, connect automations, and help ensure successful team adoption.
Project Responsibilities...
The selected specialist will:
* Review our current workflows, tools, documents, and recurring responsibilities
* Design an organized ClickUp hierarchy for multiple agencies, departments, clients, and internal operations
* Build Spaces, Folders, Lists, statuses, custom fields, views, permissions, and templates
* Create systems for task delegation, deadlines, approvals, quality control, and recurring work
* Develop workflows for client onboarding, content production, campaign management, reporting, and internal requests
* Organize SOPs and operational documentation within ClickUp
* Build dashboards for leadership, workload, project status, deadlines, and client deliverables
* Configure ClickUp automations and relevant external integrations
* Create forms and intake processes where needed
* Train the team and provide clear documentation or recorded walkthroughs
* Test and refine the system to ensure it is practical, scalable, and easy to maintain
Ideal Experience...
We are looking for someone with:
* Advanced experience building ClickUp workspaces for agencies or service-based businesses
* Strong knowledge of operations, project management, workflow design, and team accountability
* Experience managing multiple clients, departments, and recurring deliverables
* Expertise with ClickUp templates, dashboards, forms, automations, dependencies, permissions, and reporting
* The ability to simplify complex operations without overbuilding the system
* Experience integrating tools such as Google Drive, Canva, Slack,
* Strong communication, documentation, and team-training skills
Experience with marketing agencies, social media teams, creator-management companies, or remote teams is strongly preferred.
Project Scope:
This will begin as a one-time ClickUp architecture and implementation project.
Successful completion may lead to additional opportunities involving:
* ClickUp maintenance and optimization
* Automation development
* SOP and workflow development
* Project management
