JOB OVERVIEW

Established New York based baby gift brand seeking a versatile and highly organized Virtual Assistant to support our operations, sales, and marketing efforts. This full-time role (40 hours per week) involves e-commerce management (specifically a shopify store), email and wholesale marketing, communications, logistics, and team coordination. The ideal candidate will thrive in a fast-paced environment, have a passion for marketing, and be eager to contribute to all aspects of our growing brand.

Responsibilities:

E-Commerce Management:
-Oversee and optimize our presence on Upgrade to see actual info, including product listings, promotions, and analytics to maximize visibility and sales.
-Add products to sales lists, manage bundles, apply discounts, and hide sold-out items from collections.
-Resize collection images to maintain visual consistency and professionalism on the website.
-Collaborate with the Shopify developer to ensure seamless site functionality and implement updates as needed.

Marketing & Content Support:
-Assist the social media, email marketing, SEO, and paid media teams with scheduling, content updates, and reporting.
-Conduct outreach for User-Generated Content (UGC) and reviews weekly using platforms like JoinBrands and past influencer contacts.
-Engage in Facebook group outreach and community engagement to drive awareness and traffic.
-Create and update blog posts with Instagram videos and images, ensuring optimal page speed and SEO.


Email
Marketing Assistance:
-Collaborate with the email marketing team to build, schedule, and monitor campaigns.
-Manage subscriber lists, track campaign performance, and assist with A/B testing and analytics.
-Coordinate promotional calendar updates to ensure email campaigns align with overall marketing strategies.

Wholesale Marketing Support:
-Contact retailers weekly to explore new sale opportunities and manage wholesale communications.
-Track retailer engagement and maintain organized records of wholesale activities.
-Assist in the creation and distribution of wholesale marketing materials.

Communications and Logistics Assistance:
-Support internal and external communications for campaigns and events.
-Coordinate logistics for product launches, sales promotions, and influencer/UGC initiatives.
-Assist in monitoring shipping, fulfillment, and operational tasks as needed.
-Manage promotional and production calendars to ensure that marketing, sales, and production timelines align with operational goals and deadlines.

General Operations Support:
-Collaborate across teams to assist with Estella’s overall operations, sales, and marketing strategies.
-Provide administrative support for campaigns, data tracking, and performance analysis.
-Offer support for ad hoc projects and initiatives as assigned.

Requirements:
-Proficiency in Shopify and experience with e-commerce management required.
-Strong organizational and multitasking skills with attention to detail required.
-Ability to analyze data and provide actionable insights. required.
-Excellent communication skills and a team-oriented mindset, required.

Preferred Qualifications:
-Experience coordinating with marketing and operations teams.
-Knowledge of digital advertising platforms like Meta and Google Ads.
-Understanding of wholesale marketing and retailer relationship management.
-Proficiency in tools like Microsoft Clarity, Google Analytics, and project management platforms.
-Familiarity with Klaviyo and experience with SEO best practices, and social media platforms.
