Virtual Assistant for 7 Figure E-Commerce Brand – Shopify + Meta Publishing + Admin Tasks

We’re an e-commerce store in the electric toothbrush niche doing around $4,000,000 a year in revenue, and we’re looking for a proactive and detail-oriented Virtual Assistant to assist us as we scale our operations.

If you enjoy routine tasks, want to make a real difference in a growing team, have experience with Shopify, and are the type of person who takes full ownership of your responsibilities without needing to be micromanaged—you are the perfect fit for this job.

This is a part-time role to start (approx. 50%), but will grow into a full-time position over the next 2 months.

What You’ll Be Doing:

You’ll be a key part of our backend team, helping keep our operations running smoothly across different countries and platforms:

-Publishing Ads on Meta/Facebook

You’ll be responsible for downloading ad creatives from our Google Drive and publishing them in Meta Ads Manager on a set schedule (Wednesdays, Fridays, and Sundays).
No ad optimization or strategy—just publishing. You’ll follow a clear SOP and use our tracking system for status updates.

-Shopify Theme Updates

You’ll manage theme edits in both our Norwegian and Swedish Shopify stores.
You’ll make sure any theme or content changes are reflected in both stores and use ChatGPT to help translate any text. (Prompt provided)

-General VA Tasks

Supporting the owner and team with a variety of administrative and research-based tasks—like finding suppliers based on set criteria or helping with team communication.

Who We’re Looking For:

We’re not looking for someone to just blindly follow orders—we want someone who can understand the why behind a task and execute with care and autonomy.

Must-Haves:

-Proven experience working inside Shopify (especially the theme editor)
-Great attention to detail and ability to follow structured workflows
-Comfortable using tools like Google Drive, Meta Business Suite, and ChatGPT
-Strong English communication skills, both written and verbal
-Reliable and consistent—especially since the ad publishing is time-sensitive
-Proactive attitude, if something is stopping you from accomplishing a task you must ask for what you need so we can provide it for you.
-Intelligence and understanding: It is important to understand the details of what you are doing, to be able to scale with the company’s needs. If you demonstrate great understanding and ability in your role, we will give you tasks with even more responsibility.

Not needed, but a bit plus:

-Experience with Shopify Liquid
-Familiarity with Meta Ads Manager or similar tools
-Experience working in e-commerce or similar performance-based environments
