Position Overview
We are seeking an experienced Remote US Accounting & Administrative Assistant to handle day-to-day bookkeeping, property management accounting, and administrative tasks. You will be responsible for ensuring our financial records are accurate, up-to-date, and compliant, while helping manage the administrative moving parts of a large property portfolio.

Key Responsibilities:
1. Core Accounting & Bookkeeping
Manage daily Accounts Payable (AP) and Accounts Receivable (AR).
Perform regular, meticulous bank reconciliations and verify accuracy against system ledgers.
Prepare and compile monthly financial reports for review.
Maintain accurate data entry and safeguard the integrity of financial records.
2. Property Management Accounting
Manage tenant ledgers, track rent collections, and process security deposits.
Handle utility billing, track vendor payments, and organize invoices across multiple properties.
Review, track, and route maintenance invoices through our internal approval processes.
Investigate and resolve tenant disputes regarding account charges professionally.
3. Problem Solving & Administrative Support
Proactively audit records to catch accounting errors, duplicate payments, or discrepancies.
Prioritize tasks effectively to meet tight monthly and quarterly financial deadlines.
Communicate transparently with supervisors regarding operational roadblocks or discrepancies.
Qualifications & Requirements
Experience:
Minimum of 2+ years of solid bookkeeping or accounting experience.
Prior experience working with a US real estate or property management company is highly preferred.
Software Skills:
Proficiency in property management software (such as AppFolio, Buildium, Yardi, or QuickBooks) and strong proficiency with Excel (formulas, spreadsheets).
Technical Knowledge:
Deep understanding of AP/AR processes, bank reconciliation steps, and financial reporting.
Problem-Solving Skills:
High attention to detail with a proven track record of catching errors or discrepancies.
Communication:
Excellent written and verbal English communication skills; comfortable receiving feedback and implementing corrections quickly.
