We are a U.S.-based real estate investment company specializing in curative title, probate/heirship, distressed property acquisitions, and complex Florida real estate files. We are hiring an experienced Transaction Coordinator to help manage signed purchase agreements through document completion, notary coordination, attorney handoff, closing preparation, and deal-file tracking.
This role is best for someone who is highly organized, detail-oriented, steady under pressure, process-driven, and comfortable managing many moving parts without dropping follow-up items.
Role Overview
You will take over after a seller has signed a purchase agreement and help move the transaction toward completion. Many of our deals involve heirs, probate-related documents, title issues, mobile notaries, deed packages, affidavits, and attorney coordination.
This is not a sales role. It is a transaction management, document coordination, follow-up, and quality-control role.
Responsibilities
Coordinate post-contract files from signed purchase agreement through attorney/title handoff and closing readiness.
Schedule and manage mobile notaries for sellers and heirs.
Prepare, organize, track, and review document packages, including items such as:
Quitclaim Deeds
Joinders
Assignments of Interest
Affidavits of Heirs
Seller IDs
Probate/title-related supporting documents
Communicate with sellers, heirs, notaries, attorneys, internal tea
Create FedEx/shipping labels and monitor tracking.
Review scanbacks for completeness, missing signatures, missing initials, incorrect dates, missing IDs, or notary issues.
Maintain clean deal files inside our CRM/project management system.
Follow up consistently until every document, signature, ID, and required item is complete.
Track the status of multiple active files and provide clear daily updates.
Escalate issues quickly when a file is stuck, unclear, incomplete, or legally/title-sensitive.
Requirements
At least 2 years of prior Transaction Coordinator experience is required.
Prior experience with real estate transactions, title, closing coordination, probate, legal documents, mortgage files, or investor transactions is strongly preferred.
Must be comfortable working Central Time hours.
Must be available 25–30 hours per week.
Must have strong English written communication skills.
Must be highly detail-oriented and comfortable with checklists, document review, deadlines, and repetitive follow-up.
Must be comfortable speaking with sellers, heirs, notaries, attorneys, and internal tea
Must be reliable, calm, organized, and consistent.
Must be able to work independently after training and follow documented processes closely.
Compensation
$5/hour + deal bonuses

Work Schedule
Part-time: 25–30 hours per week
Hours will be aligned with U.S. Central Time.
