Virtual Assistant – Short Let Property Management Expert

We are a fast-growing, 7-figure UK-based short-let property business, specializing in Airbnb and serviced accommodations. With a portfolio of properties and an expanding presence in the market, we aim to deliver exceptional guest experiences while maximizing profitability.

We are looking for a proactive, skilled, and experienced Virtual Assistant to join our team. This role is perfect for someone who thrives in a fast-paced environment and is ready to take ownership of key operational tasks. With huge potential for growth, we are seeking someone who has a proven track record in managing short-let properties and is motivated to contribute to our continued success.

Key Responsibilities:

1. Airbnb & OTA Management

• Optimize Airbnb listings for maximum visibility and bookings (titles, descriptions, pricing, photos, and amenities).
• Handle disputes and resolve guest review issues to maintain high ratings.
• Manage Booking.com and other OTA listings, ensuring accurate availability, pricing, and descriptions.
• Work with Uplisting (or another channel manager) to synchronize calendars and prevent double bookings.
• Be familiar with or willing to become an expert in Uplisting quickly. If another channel manager is used, you will be fully responsible for its management and efficiency.
• Monitor performance metrics and implement strategies to improve booking rates.

2. Direct Bookings & Revenue Optimization

• Develop and implement strategies to increase direct bookings.
• Use dynamic pricing tools to optimize rates and maintain 95% occupancy.
• Bonus opportunities for achieving monthly direct booking targets and occupancy goals.

3. Guest & Client Relations

• Provide exceptional guest communication via email, messaging apps, and platform-specific channels.
• Support our clients with day-to-day property management tasks and ensure their satisfaction.
• Address inquiries, pre-check-in questions, and complaints promptly and professionally.
• Handle guest refunds, cancellations, and escalations with tact and efficiency.

4. Social Media Management

• Manage the DNT Stays Instagram account, including creating and scheduling posts, engaging with followers, and responding to inquiries.
• Develop strategies to grow the account and enhance the brand’s online presence.
• Collaborate with the team to showcase properties, guest experiences, and promotions effectively.

5. Operations Management

• Coordinate with cleaners, maintenance teams, and tradespeople to ensure properties are always guest-ready.
• Track and manage inventory for consumables, amenities, and supplies.
• Maintain detailed property checklists for quality control.

6. Administrative & Reporting

• Track income, expenses, and performance metrics for each property.
• Provide weekly reports on key performance indicators (KPIs) such as occupancy rates, revenue, and guest satisfaction scores.
• Use Excel and spreadsheets proficiently for data management and reporting.
• Oversee DocuSign for contracts and ensure all documentation is accurate and up to date.

Skills & Experience Required:

• At least 5 years of experience as a Virtual Assistant, with preference given to those who have worked in the short-let or Airbnb industry.
• Proven expertise in optimizing short-let property listings and managing dynamic pricing.
• Strong understanding of guest communication and conflict resolution (e.g., disputing unfair reviews).
• Familiarity with Uplisting or the ability to learn and master it quickly.
• Experience with Excel, spreadsheets, and platforms like DocuSign.
• Social media management experience, particularly Instagram (designing posts, captions, and engagement strategies).
• Familiarity with UK short-let property regulations is a bonus.
• Exceptional organizational and time-management skills.
• Ability to multitask and manage competing priorities effectively.
• Proactive and self-driven—able to take ownership without needing to be chased.

• Social media tools (e.g., Canva, Later, Hootsuite)
• Communication tools (e.g., WhatsApp, Slack)
