Sales and Production Admin Assistant

We have a great opportunity for a dynamic administrator to join our large multinational sourcing company. We have a strong track record of growth in New Zealand, Australia, Canada, USA, South Africa, the UK, and China. With over 55 years of experience importing products for top retail chains, we can demonstrate a consistent track record of carefully managed growth.

We are looking for someone who will provide a high level of sales and production admin support, develop strong relationships with customers and suppliers, and support all aspects of the Los Angeles office while working from home.

Role & Responsibilities:
• Working as part of a divisional team to provide admin support and customer service.
• Supporting the team, this role will involve actively participating in the sales process, sourcing and supply, and developing a strong understanding of retail sales.
• Provide customer service on product launch (phone calls and emails); provide support in resolving any issues; proactively solve problems where necessary.
• Order entry.
• Forwarding samples by entering request/arranging shipment/notifying customers.
• Preparing sales presentations, developing presentation formats and materials.
• Coordinate and distribute incoming/outgoing samples to/from factories and customer, including various mailing and packaging needs.
• Complete Retail Competitive Forms (pre-tender/tender, NIPFs/Meeting prep) and Retail Check.
• Market research/competitive analysis; create Power Point presentations; regular in-store visits to competing retailers.
• Purchase samples online for various projects and ensure timely delivery of products to intended recipients.

Skills & Requirements:
• Excellent communication skills, both written and verbal.
• A solid track record in administration, production or sales support ideally with some retail knowledge.
• Strong computer and admin skills. Intermediate to advanced Microsoft Office skills, especially Excel and PowerPoint.
• Data processing skills and attention to detail.
• Strong ability to multi-task, anticipate and meet deadlines in a fast-paced and time critical environment; willingness to learn; ability to handle multiple projects with changing priorities.
• Effective prioritizing and planning skills.
• Customer service mindset.
• Strong and independent problem-solving skills.
• Takes initiative and actively supports the team with a collaborative approach.
• Experience using the Adobe Photoshop and/or Illustrator would be a bonus but is not essential.
• Experience of talking to suppliers in China would be an advantage.
