JOB OVERVIEW

Position Overview
This role is responsible for managing the systems, workflows, automation, reporting, and operational processes that support Potomac’s marketing and business development efforts.

The ideal candidate combines strong technical and organizational skills with a process-oriented mindset. This person will serve as the primary administrator of HubSpot while coordinating content publishing, lead management, reporting, and marketing operations across the organization.

This is not a creative marketing role. It is a systems and operations role focused on building and maintaining a high-performance revenue engine.

Key Responsibilities

HubSpot Administration & Revenue Operations
Serve as primary HubSpot administrator
Manage contacts, companies, deals, and custom objects
Maintain lifecycle stages and lead status workflows
Create and manage automation workflows
Build dashboards and reporting systems
Maintain data quality and CRM integrity
Support pipeline management and reporting
Assist with sales and business development process improvements

Website & Lead Management
Manage website forms and lead routing
Create and maintain landing pages
Implement lead capture workflows
Manage lead scoring models
Monitor website conversion performance
Support SEO-related publishing activities
Coordinate updates to website content

Content Operations
Publish articles, transaction intelligence reports, and resources
Manage editorial calendar
Coordinate content distribution
Schedule LinkedIn and email content
Maintain content library and archives
Support newsletter production and distribution


Email
Marketing & Automation
Build and manage email campaigns
Create automated nurture sequences
Manage subscriber lists and segmentation
Monitor engagement and performance metrics
Implement lead nurturing workflows

Reporting & Analytics
Track website traffic and lead generation metrics
Monitor campaign performance
Maintain marketing dashboards
Produce weekly and monthly reporting
Analyze conversion rates and attribution data
Identify operational improvement opportunities

Database & Intelligence Management
Support Potomac’s buyer intelligence database
Maintain transaction intelligence records
Manage industry contact databases
Ensure information is organized, searchable, and current

Qualifications
Required
Excellent English communication skills
Strong organizational skills and attention to detail
Experience administering CRM systems
Experience with HubSpot or similar platforms
Strong understanding of marketing automation
Experience managing workflows and systems
Advanced Google Workspace and Microsoft Office skills
Ability to work independently and manage multiple priorities

Preferred
HubSpot certifications
Experience with SEO tools and analytics platforms
Experience with email marketing platforms
Experience supporting B2B professional services firms
Familiarity with private equity, M&A, or financial services
Experience with AI tools such as ChatGPT
