About Us
We're a boutique U.S. accounting and tax firm serving around 400 clients, with deep roots in agriculture, construction, and small business. We run a fully remote team across the U.S. and the Philippines, and we run our firm on EOS (the Entrepreneurial Operating System / "Traction"). We're building a modern, technology-driven firm that uses smart systems and automation to do great work without the chaos.
We're looking for a sharp, self-driven Integrator who can help run the tax office and be the CEO's right hand for getting things done.
The Role
This is a blended, high-trust role with one clear main priority and a strong supporting half:
- About 60% — Integrator / Project Manager for the tax office (your main priority). You help the CEO run and manage the firm: leading the weekly meeting, tracking the team's Rocks and projects, and keeping the work on deadline.
- About 40% — Right hand to the CEO. You help the CEO get her firm-building projects out the door — publishing the weekly newsletter, posting blogs and social media (she provides the copy), helping with SOPs and videos, organizing Google Drive, developing client education and communications, and keeping her teams across several related companies pulling together.
In plain terms: the CEO sets the direction; you own how it actually gets done. If you already know what an Integrator, a Rock, and a Level 10 Meeting are, you'll feel right at home. If you don't yet, you should be eager to learn the system fast.
Everything in this role is accounting and tax focused — you'll live in the rhythm of tax season, deadlines, and the monthly close.
What You'll Do
Help Run & Manage the Tax Office — Your Main Priority (~60%)
- Lead the weekly tea
- Follow along with staff Rocks (quarterly priorities) and projects, keeping everyone on target and on deadline
- Own day-to-day project management — assignments, due dates, and bottlenecks across tax season and the monthly close
- Direct and support staff, holding the team accountable to outcomes
- Work closely with and support our U.S.-based admin on planning and project management
- Help the CEO manage the firm, report progress, and flag risks early
Be the CEO's Right Hand on Firm Projects (~40%)
- Publish and send the firm's weekly newsletter— the copy is provided; you make sure it goes out on time
- Make sure social posts across companies are created and published on time (we have someone who makes them)
- Help organize and publish SOPs and training videos in the accounting firm
- Organize and maintain our Google Drive in the accounting firm
- Help keep our teams across several related companies coordinated and on track
- Own the follow-through — make sure what's supposed to go out actually goes out, on schedule
- Jump in on other projects the CEO wants to move forward
-Run the weekly tea
-Coordinate across all companies and staff to keep CEO organized
-Help create client communications
-Help create tax season workflows
-Help test new software and AI tools
-Help create internal AI tools for the team
Must-Haves (Non-Negotiable)
- Accounting/tax firm experience — you understand how a firm works, what deadlines mean, and the rhythm of tax season and monthly close
- Strong project management skills — you can plan, assign, track, and deliver work across a team
- Proven ability to manage deadlines under pressure without dropping the ball
- Excellent written and spoken English — clear, professional communication with the team and clients
- Hands-on experience with Google Workspace, Canopy, Notion, and QuickBooks — these are the tools we run on every day, and you should already know them
- Ability to work independently — fully self-directed, reliable, and trustworthy with little supervision
- Ability to take control and lead — comfortable owning outcomes and directing staff
- A "D" or "I" DISC profile** — this role needs a take-charge, driving, people-moving personality
- Reliable internet, computer, and a quiet remote work setup
Nice to Have
- Experience as an Integrator, Online Business Manager (OBM), or Executive Assistant
- Direct experience running EOS / Traction (Rocks, Level 10 Meetings, Scorecard) — a big plus
- Experience publishing and scheduling content —
- Experience managing remote or international teams
- Comfort with new technology and AI tools — we automate wherever we can
