JOB OVERVIEW

ClearBooks CPA
Admin / Bookkeeper / Tax Preparer
Full-Time | Remote | $900–$1,200/month

We're a US-based CPA firm handling bookkeeping, tax prep, and back-office support for small businesses, real estate operators, and individual filers. We're hiring one experienced person to take real ownership of a book of clients — not a data-entry seat. You'll keep books clean, prepare returns, call agencies, and communicate directly with clients in writing.

WHAT YOU'LL OWN
Bookkeeping — QuickBooks Online
• Full-cycle monthly bookkeeping: categorization, bank/card reconciliations, GL clean-up, month-end close
• Monthly financial statements (P&L, Balance Sheet, Cash Flow) with anomalies flagged before client review
• Fixed assets, prepaids, loan amortization, and recurring journal entries
Tax Preparation — Intuit ProConnect
• Federal and state returns (1040, 1065, 1120-S, 1120) prepared under owner review
• K-1 input, depreciation, multi-state allocations, and clean supporting workpapers in Excel/Google Sheets
• Return status tracked from missing docs through e-file acceptance
Agency Calls & Notice Resolution
• Call IRS, state DORs, FTB, EDD to resolve notices, pull transcripts, and set up payment plans
• Draft POA (Form 2848) and TIA packages; manage follow-up to close
• Log every call: agent name, badge ID, date/time, outcome, next step
Document Management — Google Drive
• Maintain client folder structure per our SOP — every document named, dated, and filed same day
• Proactively spot missing items (W-2s, 1099s, K-1s, brokerage statements) and request them from clients
Client Communication
• Respond to client emails directly in clear, professional English
• Request documents, follow up on open items, explain bookkeeping or tax questions at the client's level
• Escalate anything sensitive or out-of-scope to the owner before responding

MUST-HAVES
• 3+ years of bookkeeping in a US CPA or bookkeeping firm (not BPO data entry)
• Hands-on ProConnect experience: 1040 + at least one of 1065, 1120-S, or 1120
• QuickBooks Online proficiency — ProAdvisor certification strongly preferred
• Strong Excel / Google Sheets: pivot tables, SUMIFS, INDEX/MATCH, VLOOKUP — be honest about your level
• Client-ready written and spoken English — you will email and call on behalf of the firm
• Comfortable calling IRS and state agencies through long hold times
• Quiet home office, reliable internet, working webcam
• This must be your primary full-time job

NICE TO HAVE
Gusto, ADP, or other US payroll platforms Real estate, e-commerce, or professional services clients
Karbon, TaxDome, or practice-management tools Comfort using AI tools (Claude, ChatGPT) in your workflow

HOURS & SCHEDULE
• 40 hours/week, fully remote — flexible schedule
• Minimum 4-hour daily overlap with 8 AM–5 PM PST
• Daily async communication via email and project tool
• Biweekly video check-ins with the owner

We are an AI-friendly firm. You may use Claude or ChatGPT in your workflow, with strict rules about never inputting client data into public AI tools — training provided.

NOT A FIT IF
• Your written or spoken English is not yet client-ready
• You've only done BPO-style data entry and have never closed books or prepped a return end-to-end
• You go quiet under deadline pressure instead of communicating
• You're looking for a side gig or short-term contract
