JOB OVERVIEW

About the Role
We are seeking a highly organised and proactive Property Operations Coordinator to support a growing property management in the Cayman Islands.

This role will be responsible for managing operational workflows, coordinating contractor services, maintaining Monday.com boards, preparing newsletters and producing meeting minutes, managing shared inboxes and producing management reports.
The successful candidate will become a key member of the team, ensuring that information is organised, actions are tracked and communication is delivered professionally and on time.

Key Responsibilities
Monday.com Administration
Maintain and update Monday.com boards.
Create and update tasks and action items.
Monitor outstanding works and overdue actions.
Produce weekly and monthly dashboard reports.
Assist with workflow improvements and automation.
Communication & Inbox Management
Monitor and manage shared inboxes.
Draft professional responses to owners, residents and contractors.
Escalate urgent matters appropriately.
Maintain communication logs and action trackers.
Meeting Minutes & Reporting
Prepare AGM and committee meeting minutes from recordings and notes.
Maintain action registers.
Produce weekly management reports.
Prepare project and outstanding works summaries.
Newsletter Production
Create resident newsletters using information gathered from Monday.com and the property management team.
Format and distribute communications for management approval.
Contractor & Service Coordination
Schedule pest control visits.
Schedule AC maintenance visits.
Coordinate contractor access and appointments.
Maintain recurring service schedules and trackers.
Administrative Support
Produce daily AR call sheets.
Maintain operational trackers and records.
Assist with document management and workflow coordination.
Support Directors and Property Managers with administrative tasks.

Essential Requirements
Excellent written and spoken English.
Previous experience using Monday.com on a daily basis.
Experience creating and maintaining Monday.com boards and dashboards.
Strong Microsoft Word and Excel skills.
Excellent organisational and time management skills.
Ability to work independently with minimal supervision.
Strong attention to detail.
Reliable internet connection and quiet workspace.

Desirable Skills
QuickBooks enterprise experience
Property management experience.
Experience preparing meeting minutes.
Experience producing newsletters.
Experience using AI tools such as ChatGPT.
