Job Overview:
We’re looking for a reliable, experienced Virtual Assistant with strong Buildium skills to support our property management operations. Must be organized, proactive, detail-oriented, and fluent in Spanish for tenant and vendor communication.
Key Responsibilities:
Customer Communication:
- Respond to all calls/texts/emails within one business day and log in Excel.
- Confirm job details (deposit, color, weather) with new clients.
- Follow up with current and potential clients for updates, feedback, and interest.
Financial & Job Tracking:
- Track daily job activity, receipts, and update Excel sheets.
- Follow up on unpaid balances until resolved.
- Keep detailed records of all transactions and communications.
Marketing & Lead Generation:
Call/email business networks regularly.
- Send monthly mailers to tenants and leads.
- Research landlord leads on Craigslist (3x/week) and Zillow (2x/week).
- Contact local property management companies to offer services.
- Post daily job photos and content on social media using Canva.
Scheduling:
- Keep calendar full with jobs and estimate appointments.
- Send confirmations with job details.
Customer Experience:
- Respond promptly via platforms (Angie’s List, 99 Calls, etc.).
- Improve and simplify the payment process.
- Maintain a professional, friendly approach.
Required Qualifications:
- Proven Buildium experience.
- Fluent in Spanish (a plus)
- Strong organizational & communication skills.
- Proficient in Excel, Google Suite, and Canva.
- Customer service and admin experience.
- Proactive and detail-oriented.
Preferred:
- Property management or real estate background.
- Social media/digital marketing experience.
- Familiarity with payment systems and CRMs.
