Project Coordinator & Systems Administrator
Salary: $1,500 USD/month
Schedule: Monday - Friday, 8 AM – 5 PM EST (40 hours/week)

Role Overview:
WorkSpark is hiring a top-tier Project Coordinator & Systems Administrator to support a U.S.-based architecture and consulting firm in managing project workflows, maintaining system data accuracy, and providing direct administrative support to senior technical staff. This is a high-visibility role for someone with excellent attention to detail, exceptional organizational skills, and a proactive mindset.
Key Responsibilities:
Project Support & Coordination:
- Assist design and project teams by preparing, formatting, and proofreading client deliverables, reports, and presentations
- Coordinate meetings, manage complex calendars, and ensure accurate follow-ups and documentation
- Serve as the go-to resource for ensuring deadlines and task tracking is up to date across projects
System Administration & Data Integrity:
- Maintain data accuracy in project management tools (e.g., Mosaic, Monday, Asana, or similar tools)
- Support integration of project management platforms with ERP tools
- Generate weekly reports, flag inconsistencies, and proactively recommend improvements to system workflows
Stakeholder Communication:
- Liaise with principals, architects, and project managers in the U.S. to understand operational needs and translate them into action
- Manage internal task tracking, reminders, and communications to ensure no detail is missed
Quality & Process Optimization:
- Create and manage templates, SOPs, and internal documentation libraries
- Champion productivity by suggesting workflow improvements and automation opportunities
Qualifications:
- Bachelor’s degree or higher in Business Administration, Operations, Engineering, Architecture, or related field
- Minimum 3–5 years of experience in project coordination, project support, or PMO roles—preferably with U.S. clients
- Experience with project management software like Mosaic, Asana,
- Proficiency with Microsoft Office 365 Suite (especially Excel, Outlook, and PowerPoint); bonus if familiar with Microsoft Teams and SharePoint
- Flawless English communication skills—spoken and written
- Outstanding attention to detail, time management, and follow-through
- Experience supporting technical or design teams (architecture, engineering, consulting) is a strong plus
- Ability to work independently, handle sensitive information, and collaborate with multiple stakeholders across time zones
