Project Coordinator

We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to oversee the execution of key business initiatives across multiple brands and ventures. This role is responsible for ensuring projects move forward on time, stakeholders remain informed, deadlines are met, and business initiatives are successfully executed. The ideal candidate is a strong coordinator who enjoys creating structure, driving accountability, and turning ideas into completed projects. The Project Coordinator will serve as a central point of coordination across marketing, community engagement, events, product launches, nonprofit initiatives, and special projects.


Key Responsibilities:

1. Project Management & Execution
* Develop and maintain project timelines for all active initiatives.
* Track milestones, deadlines, and deliverables.
* Coordinate vendors, contractors, and internal stakeholders.
* Lead weekly project status meetings.
* Identify bottlenecks and recommend solutions.
* Ensure projects remain on schedule and within scope.

2. Community Management
* Support growth and engagement
* Coordinate weekly engagement initiatives.
* Organize quarterly community meetings.
* Coordinate expert sessions and guest speakers.
* Assist with community raffles and member experiences.
* Track member engagement metrics.

3. Event Planning & Coordination
* Coordinate quarterly brunch events.
* Manage vendor communication and logistics.
* Coordinate sponsorship deliverables.
* Manage attendee communications.
* Ensure event timelines are executed successfully.
* Coordinate photographers and event support vendors.

4. Planner Launch & Product Development
* Manage launch timelines for the planner series.
* Coordinate marketing deliverables with contractors.
* Track production schedules and deadlines.
* Assist with influencer outreach campaigns.
* Coordinate launch activities and promotions.
* Monitor launch performance metrics.

5. Brand & Marketing Coordination
* Coordinate with outsourced marketing vendors.
* Ensure all marketing requests are completed on time.
* Maintain brand consistency across platforms.
* Review websites, landing pages, and digital assets for accuracy.
* Ensure links, branding, and messaging remain current.
* Coordinate content needs for campaigns and launches.

6. Grant & Nonprofit Support
* Maintain grant application calendars.
* Research grant opportunities.
* Coordinate grant submission requirements.
* Manage communication with grant-writing partners.
* Support nonprofit project initiatives.
* Track deadlines and reporting requirements.

7. Reporting & Accountability
* Maintain project dashboards and trackers.
* Provide weekly project status reports.
* Track project KPIs and outcomes.
* Escalate issues and risks proactively.

Qualifications

Required:
* 2+ years of project management, operations, community management, or related experience.
* Exceptional organizational skills.
* Strong written and verbal communication abilities in English.
* Experience coordinating multiple projects simultaneously.
* Ability to work independently with minimal supervision.
* Strong problem-solving skills.
* Comfortable working in a fast-paced entrepreneurial environment.
* Available during Eastern Standard Time business hours.

Preferred:
* Proficiency in ClickUp, Go high level, adobe, google suite, or similar project management tools.
* Community management experience.
* Event coordinating experience.
* Marketing campaign coordination.
* Experience working with contractors and external vendors.
* Background in small business or startup environments.
* Proficiency in English


90-Day Success Metrics

Within the first 90 days, this individual will:
* Implement project tracking systems for all active initiatives.
* Establish recurring project review meetings.
* Successfully coordinate ongoing community initiatives.
* Maintain accurate project dashboards.
* Improve on-time completion of strategic initiatives.
* Reduce founder involvement in day-to-day project coordination.
